Bank inconsistenties in general (Beta)

In the bank account overview, an icon in the Consistency check column indicates whether an inconsistency is present in the transactions of a bank account.


Types of bank inconsistencies

Yuki has two types of bank inconsistencies:



Yuki cannot check the balance because the bank does not include balance information in the bank files you provided. Check the balance regularly using the paper statements you still receive from the bank. Contact Yuki if any transactions are missing.



Yuki has detected missing transactions. The balance probably differs from the actual balance.

Check whether you are missing transactions from certain days and export them again from the internet site fo your bank.


Determination of bank inconsistency by Yuki

When determining a bank inconsistency, Yuki first looks at the last bank file submitted and compares the balances in that bank file with the balances on the relevant GL account number in Yuki. If that does not match, Yuki indicates the inconsistency through an icon.


ING bank and Triodos bank usually provide a opening and closing balance per bank file.

The name of the MT940 file of the Rabobank usually ends in ‘swi’ and contains a opening and closing balance for each day, regardless of whether any transactions took place on that day.


MT940 file

Yuki can only calculate an inconsistency if bank statements are provided in MT940 format or on paper. The MT940 format contains balance information and from this, Yuki can calculate whether the opening or closing balance calculated by Yuki matches that of the bank.


Important line types in an MT940 file:

  • :25:12345789 (Bank account)
  • :28:10601/1 (Statement number less important)
  • :60F:D100415EUR9272.67 (Opening balance on 15-04-2010)
  • :61:1004160416D30,N192NONREF (Transaction line on 16-04-2010)
  • :62F:D100416EUR9621.23 (Closing balance on 16-04-2010).


ATTENTION!

  • Yuki does not import statement lines that have already been imported in the past, duplicate statement lines are skipped during import.
  • Yuki skips transactions of a certain date if transactions have already been imported on that date. 
  • The date on the screen is the date of the last closing balance in the submitted bank file. The opening balance can therefore be from well before that date.
  • A opening and closing balance is shown each day if transactions took place on that day.
  • At the top right of the screen, you can select a specific period, however, in the top line of the overview, under the check closing balance, not the balance of the presented period is shown, but always the closing balance that Yuki has calculated over all years.

View bank inconsistency

Hover your mouse over the Bank icon in the navigation bar and click on Bank accounts. In the now-opened screen, click on the name of the relevant bank account and open the Statements view. 


If all lines are colored black, there is no inconsistency. This is in contrast to the example shown below.


The columns Check opening balance of Yuki and Check closing balance of Yuki are visible only to a user with a 'Back Office' role in the domain.



Color use

If the opening and/or closing balance of the statement differs from the balances on the GL account number on the same day, the lines are colored:

  • White: The opening and closing balance calculated by Yuki is equal to the balance supplied by the bank.
  • Red: The opening balance calculated by Yuki does not match the closing balance of the line below it or the closing balance calculated by Yuki does not match the opening balance of the line above it.


Even if the entire statement colors red, there is no inconsistency as long as the closing balance of the bank is the same as the check closing balance of Yuki. Where the closing balances diverge is usually where the problem lies.


TIPS!

To detect possible duplicate transactions, you can go through the following steps:

  • Calculate the difference between the latest check closing balance from Yuki and the latest closing balance from the bank.
  • Using the search bar, search for this amount.
  • Hover your mouse over the Bank icon in the navigation bar and then click on Electronic statements. In the now-opened screen, click on the Duplicate lines button. See if you can find the amount there.
