The functionalities and features available in Nmbrs Accounting depend on the chosen package (and any additional features) as well as your user role(s).
The Inbox in Nmbrs Accounting serves as the central platform for communicating with the back office and managing the administration. It performs three key functions:
- Submission: easily upload documents, receipts, and bank transactions.
- Communication: exchange questions with the back office.
- Quality control: follow up on outstanding tasks and missing documents via the dashboard.
The Archive in Nmbrs Accounting is a comprehensive digital storage area, neatly organized into folders:
- Top shelf (Accounting): contains all documents relevant to the accounting process. The back office uses this section to review items awaiting processing.
- Bottom shelf (Personal archive): a space to store and organize other documents yourself, such as insurance policies, legal deeds, and correspondence.
The Financials functionality offers a complete overview of the company's finances:
- Business Monitor (Home screen): displays the current status of results, revenue, operating expenses, bank balances, and cash balances.
- Accounting functions: provides access to features such as Revenue & Expenses, Assets & Liabilities, Trial Balance, Fixed Assets, Outstanding items (accounts receivable/payable), VAT returns, and the Chart of Accounts.
The Analytical accounting feature provides detailed insight into the origins of costs and revenues:
- Extra-accounting processing: entries are not recorded in the administration's official general ledger accounts.
- Analytical structure: transactions are assigned to specific dimensions via a special view, enabling more in-depth reporting.
The Bank functionality offers a central overview of all financial accounts and transactions within the domain:
- Central overview: view all business bank accounts, credit cards, and online payment providers across all administrations, including a filter option per administration.
- Pending internal transfers: view a summary at the bottom of the screen showing transactions between two of your own business accounts where the credit entry has not yet been matched with the debit entry (or vice versa).
The Bulk payments (Payment list) feature is integrated into the Bank functionality and makes payment processing more efficient:
- Manual payments: pay outstanding documents directly and individually.
- SEPA batch file: generate a SEPA payment file to settle multiple outstanding items simultaneously.
Direct debit (collect sales invoices via Nmbrs Accounting)
The Direct Debit feature is integrated into the Bank functionality and simplifies the collection of sales invoices:
- Easy selection: select sales invoices for collection directly from the 'To be collected' list.
- SEPA direct debit file: Nmbrs Accounting automatically generates a single batch file that can be submitted directly to the bank.
- Automatic processing: the bank automatically collects the invoices, eliminating the need for manual data entry on the bank's website.
The Foreign Currency feature enables you to conduct business using foreign accounts or invoices:
- Dual-currency processing: easily process transactions and invoices in the original currency (such as USD or GBP) as well as in euros.
- Fixed base: the main administration and reports are always maintained in euros.
- International payments: suitable for issuing regular sales invoices to foreign customers or managing a foreign bank account.
Sales Standard offers the essential functions for a streamlined invoicing process. Sales invoices can be created and sent using a more efficient and user-friendly workflow.
Additionally, the design and layout of your invoices can be tailored to your corporate identity.
ATTENTION!
Sales Standard is not compatible with the Foreign currency feature.
Sales Advanced offers comprehensive functionality to streamline the entire process of quotations, invoices, contracts (recurring invoices), and price management within Nmbrs Accounting.
The Mollie integration helps ensure sales invoices are paid faster by customers:
- Faster payments: add online payment options to sales invoices so customers can pay immediately.
- Simple integration: link your Nmbrs Accounting administration directly to your Mollie account once the Mollie bank account has been set up.
- Flexible use: also works if the Mollie account is already linked to an existing webshop.
The Purchase functionality offers a central overview of all suppliers and purchase invoices:
- Historical insight: various overviews provide immediate insight into the history of all purchases.
- Status tracking: view the current status of purchase invoices at a glance (e.g., Unpaid, Payments in transit, or Processing).
Overview of all employees and relevant documents, such as payslips, expense claims, and absence records.
An Nmbrs Payroll or Loket link ensures seamless connectivity between payroll and financial administration.
WKR (Work-related costs scheme)
The Work-related costs scheme (WKR) feature allows a portion of the total taxable wage bill to be paid out to employees tax-free:
- Discretionary margin (*vrije ruimte*): a fixed percentage of the total taxable wage bill that can be freely spent on tax-free allowances, provisions, and benefits in kind.
- Final levy (80%): if the discretionary margin is exceeded, the employer pays an 80% wage tax levy on the excess amount.
- Targeted exemptions: specific costs (such as travel expenses or training) that can be reimbursed tax-free without drawing on the discretionary margin.
The Contacts (CRM) functionality offers a central address book to efficiently manage all your customer and supplier contacts:
- Insight per contact: view contact details, correspondence history, and linked accounting information with a single click.
- Financial history: immediate insight into the contacts's payment behavior, recent transactions, and the work performed for them.
- Flexible contact types: a contact can easily be registered as a company or as an individual (contact) person.
The Projects feature allows for the detailed classification of documents and transactions within your accounting records:
- Analytical accounting: work with cost centers and cost units to accurately allocate costs and revenue by employee, department, or product.
- Additional analysis: gain clear insight into specific areas of your business beyond the standard chart of accounts.
- Project reporting: easily generate a specific Profit & Loss statement for each project to instantly analyze results by project or department.
The Email functionality streamlines communication directly from within the platform:
- Integrated email management: send and receive emails directly within your Nmbrs Accounting domain.
- Fully web-based: functions as a direct alternative to traditional email clients like Microsoft Outlook, requiring no additional software.
The Calendar feature provides a shared overview, making business activities transparent and visible to the entire team:
- Central access: the calendar is accessible to all users within the organization, streamlining collaborative planning.
- Business use: designed for sharing team appointments, such as meetings, events, project deadlines, and administrative reminders.
Time tracking (register and invoice activities)
The Time Tracking feature makes recording and invoicing worked hours clear and efficient:
- Logging time: employees easily record their hours worked against specific clients or projects.
- Direct invoicing: after review and approval, convert approved hours into sales invoices with a single click.
- Insight & Productivity: built-in overviews provide immediate insight into how time is spent, billability, and employee productivity.
Workflow (approve tasks and/or invoices)
The Workflow feature helps structure, assign, and monitor internal business processes:
- Process management: a combination of tasks, smart workflow rules, and integration with the Nmbrs Accounting app provides a clear overview of action items.
- Versatile application: suitable for various workflows, such as approving purchase invoices, managing orders, and following up on work orders or meeting notes.
