Which settings you can specify in a domain depends on the selected bundle (and any additional features added) and the role(s) you have as a user in the domain.


In Yuki, you can adjust a number of domain settings to control your contract, administration(s), user(s), messaging, blocking/closing your domain, among others.


You have the ability in Yuki to block or close an administration until a certain date.


ATTENTION!

When blocking or closing a financial year of an administration that is part of a Fiscal unity, all associated VAT returns must have the status ‘Historical’ or ‘Closed’.


Only a user with the 'Portal back office controller' role, 'Back office controller' role in the domain or the 'External accountant' role can block or close an administration.


A user with the role 'Management' can only view the blocking and/or closing dates of the administration(s).


Conditions and effect of blocking


Condition

An administration can be blocked when all VAT returns and payroll tax assessments are present in the administration. All VAT returns must have the status ‘Historical’ or ‘Closed’ (sent to and acknowledged by the tax authorities. The VAT supplement may have the status ‘Draft’. 


Effect

It is possible to block an administration until a certain date in Yuki. This means that from that date no new transactions will be processed that affect entries made before or on that date. This locks the financial data until the chosen date, so that no more changes can take place.


Only a user with the ‘Portal back office controller’ role, ‘Back office controller’ in the domain or the ‘External accountant’ role can still change or add transactions.


Conditions and effect of closing


Condition

An administration can be closed only if the replenishment also has the status ‘Historic’ or ‘Closed’.


Effect

If you want to close an entire financial year in Yuki to ensure that no more changes can be made by any user during that year, the administration must be closed. This is a stricter form of blocking that prevents all future operations in that financial year.


After closing a financial year, no user can make any changes within that particular financial year.


TIP!

The closing date can be added as a column to the Administrations view in the accountant portal.




In Yuki, you can set the following domain settings:

  • General
    General information such as the owner and language of the domain, among others.
  • Contracts
    View contract details, add or remove features to contract, cancel or reactivate contract.
  • Companies
    All administrations included in this domain, create new administration and set up Fiscal unity if applicable.
  • Users
    All users with access to this domain, grant or deny additional user access, delete user, assign role(s) to additional user, assign ‘Back office’ role to user if feature ‘Self-accounting’ is activated.
  • Messages
    Which user per administration will receive messages from Yuki about VAT returns, points of interest, pay slips if applicable, and Peppol.
  • Tags
    Put a “label” (tag) on specific data in the domain for easier retrieval..
  • Tax authorities
    Whether or not required approval of VAT return by entrepreneur before sending VAT return to tax authorities.
  • Block and close
    Blocking and/or closing administration for audit or year-end purposes.



Access to domain settings

All saved settings, such as the blocking and closing settings, are centralized within your domain and organized into logical categories.


To access these settings:

  • click on the Settings icon in the navigation bar
  • then, in the now-opened screen, in the Domain section click on Block and close.



Set blocking and/or closing




Specify which administration you want to block or close (if you have multiple administrations in one domain) and enter the last day of the period you want to check (for example, 31-12-2017 for fiscal year 2017).


You can remove a blocking or closing by replacing the date with an earlier date or removing the date altogether and then clicking on the Save button.
