Which settings you can specify in a domain depends on the selected bundle (and any additional features added) and the role(s) you have as a user in the domain.


In Yuki, you can adjust a number of domain settings to control your contract, administration(s), user(s), messaging, blocking/closing your domain, among others.


The various settings and data in the administration profile of any administration included in the domain may be viewed or changed, new administrations may be created and a Fiscal unity can be set if necessary.


Default administration

The administration which acts as the main administration within the domain is given the Default label. This means that data from this administration will be automatically shownin all screens that are opened.




In Yuki, you can set the following domain settings:

  • General
    General information such as the owner and language of the domain, among others.
  • Contracts
    View contract details, add or remove features to contract, cancel or reactivate contract.
  • Companies
    All administrations included in this domain, create new administration and set up Fiscal unity if applicable.
  • Users
    All users with access to this domain, grant or deny additional user access, delete user, assign role(s) to additional user, assign ‘Back office’ role to user if feature ‘Self-accounting’ is activated.
  • Messages
    Which user per administration will receive messages from Yuki about VAT returns, points of interest, pay slips if applicable, and Peppol.
  • Tags
    Put a “label” (tag) on specific data in the domain for easier retrieval..
  • Tax authorities
    Whether or not required approval of VAT return by entrepreneur before sending VAT return to tax authorities.
  • Block and close
    Blocking and/or closing administration for audit or year-end purposes.



Access to domain settings

All saved settings, such as the companies, are centralized within your domain and organized into logical categories.


To access these settings:

  • click on the Settings icon in the navigation bar
  • then, in the now-opened screen, in the Domain section click on Companies



Companies (administrarions) overview 

The screen with all administrations (companies) included in this domain is always opened in the Default view.




This view allows you to see essential information about each administration, including:

  • CoC number
  • Email address for documents: for receiving and managing administrative documents.
  • Accounts from: when the administration has started financially.
  • VAT number
  • VAT return by: the user responsible for submitting VAT returns.
  • ICP: whether or not the ICP declaration is automatically sent with VAT return.
  • Status of administration:
    • Incomplete: the administration is ready for use: all necessary data has been supplied and documents for this administration can be submitted to Yuki for processing.
    • Complete: the administration is not yet ready: basic data for this administration is missing. As a result, you cannot yet submit documents to Yuki for this administration. To complete the basic data, click on the name of this administration in the domain. You can then fill in the missing details (the administration profile) in a number of screens. 
    • Inactive: the administration is inactive: the end date of the contract has passed. You can only view this administration and perform edits for your own use. However, you cannot have documents for this administration processed by Yuki. You can view inactive administrations as long as there is at least one active administration in the domain.



From the screen with the administrations included in the domain a user with the 'Back office', 'Management' or Financial administration' role can:

  • view the company (administration profile)
  • view the contact (contact person) of company
  • change details of a company (administration)

    ATTENTION!
    A user with the ‘Management’ or 'Financial administration' role cannotchange the following data in the administration profile:
    • CoC number
    • legal form
    • VAT number
    • if applicable, directors, shareholders and particpations.


In addition, from this screen a user with the 'Back office' role can also:

  • create a new company (administration)
  • set or change the Fiscal unit (VAT).
  • set or change the Fiscal unit (VpB).


Views

You can also indicate in this screen that one of the following views should be shown:

  • Fiscal unity (VAT)


  • Fiscal unity (VpB)



Create company (administration)

Once a domain has been created, you need to record all kinds of information about the company (or companies) whose administrations will be kept in this domain. You also need to record a number of details about the administrations themselves: from when they will be kept in Yuki, and about VAT, etc.


At the top right of the screen, click on the + Company button.


The following screen is opened:

View company (administration profile)

To view the administration profile of a company:

  • hover the mouse over the line of the respective company
  • click on the button with the three dots
  • then select the View company menu option from the dropdown menu.



The administration profile of the company is opened.


View contact (contact person)

To view the details of the contact person for a company (administration):

  • hover the mouse over the line of the respective contact
  • click on the button with the three dots
  • then select the View contact menu option from the dropdown menu.



The contact card of the contact person is opened.


Change details of company (administration)

To change the details in the administration profile of the company:

  • hover the mouse over the line of the respective company
  • click on the button with the three dots
  • then select the Edit company menu option from the dropdown menu.



The administration profile of the company is opened.


Set up or change Fiscal unity (VAT)

Within Yuki, it is possible to consolidate and send VAT returns through a Fiscal unity. A Fiscal unity consists of several Fiscal unity components.


It can take several hours before the configured Fiscal unity is available in the domain.
