Dashboard of analytic view

All screenshots in the article were taken in the Dutch version of Yuki.


The screen below is the home screen of an analytic view. From this screen, the analytic view is built and changed as needed, analytical reports can be viewed, and analytic transactions can be exported for use in other software programs. 


Only a user with the 'Portal administrator', 'Portal back office', 'Management', 'Financial administration' or 'External accountant' role can view the dashboard of an analytic view and perform actions.


From this screen, a user can:

  • view the created scopes, values, distribution keys or allocation rules
  • create a scope, value, distribution key or allocation rule
  • perform more actions:
    • change the analytic view
    • lock or close the analytic view
    • manage the dimensions
    • assign the transactions in bulk
    • view the bulk transactions
    • export the analytic transactions as a CSV file
    • reset the transactions
    • delete the analytic view.
  • view the following reports:
    • 'Revenue' and 'Costs' donut charts.
    • Profit and loss by value (Analytical accounting)
    • Profit and loss value comparison (Analytical accounting)
    • Profit and loss by dimension (Analytical accounting)


Click on the Financials icon in the navigation bar and then click on Analytical accounting in the now-opened screen. Select the tab of the analytic view whose dashboard you want to open and then click on the Go to dashboard button.


TIP!

To open the dashboard of another analytic view, click on the Analytic views link at the top of the screen and select the tab of the analytic view you want to open and then click on the Go to dashboard button again.

TIPS!

  • To generate more advanced views, you can create the required dimension(s) directly by clicking on the Manage dimensions link in the blue banner.
    This banner is shown if at least one dimension is not activated in the analytic view.

  • To assign the to be assigned transactions directly to analytic values in bulk or manually, click on Assign transactions in the orange banner.

  • To define values, click on New value in the blue banner

View created scopes, values, distribution keys or allocation rules

To view the scopes, values, distribution keys or allocation rules created in this analytic view, click on the Scopes, Values, Distribution keys or Allocation rules tile, respectively.

Create scope, value, distribution key or allocation rule

To create a scope, value, distribution key or allocation rule, click on the Create... button. and then click on Scope, Value, Distribution key or Allocation rule from the dropdown menu.

Perform more actions

To perform one of the actions, click on the More actions button and then click on the corresponding menu option in the dropdown menu. The following sections describe all possible actions to be performed:

  • Change analytic view
  • Block or close analytic view 
  • Manage dimensions 
  • Assign transactions in bulk 
  • View bulk transactions
  • Export transactions
  • Reset transactions 
  • Delete analytic view.




Change analytic view

To change an analytic view, click on the More actions button and then click on Edit analytic view from the dropdown menu.


The following screen is opened:



Change the relevant data and then click on the Save button.


All transactions that meet the set input criteria (scopes) for a changed period of a view and fall under an existing allocation rule will be automatically assigned by Yuki to the relevant value(s).


Block or close analytic view (only available for user with role 'BO controller')

You have the option in Yuki to 'block' an analytic view until a certain date so that no more analytic transactions are assigned by Yuki before or on that date. However, it is still possible to change the transactions already assigned or assign transactions to be assigned.


However, if you want to close an analytic view in Yuki so that no user can change already assigned transactions and assign assignable transactions, you must “close” the analytic view, so to speak, by a certain date. 


ATTENTION!

  • The closing date of the analytic view cannot be after the blocking date of the analytic view.
  • The block date of the analytic view cannot be after the block date of the administration.
  • The closing date of the analytic view cannot be after the closing date of the administration.


To block or close the analytic view, click on the More actions button and then click on Block/close analytic view from the dropdown menu.


The following screen is opened:



Enter the block or close date and click on the Save button.


Manage dimensions

To manage dimensions, click:

  • on the Manage dimensions link in the blue banner
  • on the More actions button and then on Manage dimensions in the dropdown menu.

Assign transactions in bulk

Transactions can be assigned in bulk if necessary:

  • after creating or changing an allocation rule
  • after creating or changing a value
  • for transactions yet to be assigned in the 'To be assigned' overview.


ATTENTION!

Transactions are automatically added by Yuki to the analytic view and if applicable assigned to value(s):

  • immediately after creating an analytic view
  • after changing the period of an analytic view
  • after creating or changing a scope.


Transactions are automatically removed from the analytic view by Yuki:

  • after changing the period of an analytic view
  • after removing an analytic view and thus the scope(s) of this analytic view.


To assign transactions in bulk, click on the More actions button and then click on Assign transactions in bulk from the dropdown menu.

View bulk transactions

To view bulk transactions, click on the More actions button and then click on View bulk transactions in the dropdown menu.

Export analytic transactions

To export analytic transactions as a CSV file, click on the More actions button and then click on Export transactions in the dropdown menu.

The CSV file 'yuki_Analytical_transactions_[administration name]_[financial year}' is saved in the 'Downloads' folder on your computer.


Check the Condensed report check box to export the analytic transactions grouped by month, GL account, analytic dimension, analytic value and company.


The CSV file 'yuki_Analytical_transactions_[administration name]_[financial year]_condensed' will be saved in the 'Downloads' folder on your computer.


Reset transactions

All analytic transactions and analytic reports within a view can be reset. This means that all transactions are reassigned to the default value 'To be assigned'.


To reset transactions, click on the More actions button and then click on Reset transactions in the dropdown menu.

Delete analytic view

To delete an analytic view, click on the More actions button and then click on Delete analytic view from the dropdown menu.


The following screen is opened:



Type the text 'DELETE' and then click on the Delete button to permanently delete the analytic view.


All transactions that meet the input criteria (scopes) set for the deleted view will be automatically deleted by Yuki.


ATTENTION!

The original transactions processed in the domain's administration(s) will remain available in Yuki.


View reports

Among other things, analytical accounting allows you to break down the figures in a report by value and/or dimension (e.g., country, branch, department, etc.).


ATTENTION!

The value 'To be assigned' is shown in the donut charts and the report 'Profit and loss' when analytical transactions have to be assigned to values.


'Revenue;' and 'Costs' donut charts

The analytic transactions assigned to values are shown in a Revenue donut chart Revenue and a Costs donut chart.



Under a donut chart, up to six values are shown with the value with the highest percentage at the top. The remaining values are grouped together, so to speak, under the name “Other.


For each value, the total number of assigned transactions, the total amount of these transactions and the percentage of these transactions compared to the total amount of all values in the donut graph are shown under the corresponding donut graph. 


'Profit and loss by value', 'Profit and loss value comparison' and 'Profit and loss by dimension' report

Click on the View report... button and then click on Profit and loss by value, Profit and loss value comparison or Profit and loss by dimension in the dropdown menu.
