A distribution key can be set as an output for an allocation rule. Within an allocation key, you must define at least one weight set that automatically distributes a transaction among multiple values.
The weight set of an distribution key determines how the revenue and costs of transactions will be automatically distributed among the different values based on an allocation rule.
Only a user with the 'Portal administrator', 'Portal back office', 'Management', 'Financial administration' or 'External accountant' role can create one or more distribution keys.
Distribution keys in example analytical view 'Revenue and costs by department':
- Distribution key Housing costs (proportional distribution):
Weight:- Value: Sales Department, Share 25
- Value: Purchasing Department, Share 25
- Value: Administration Department, Share 25
- Value: Support Department, Share 25.
- Distribution key Personnel costs (based on number of employees):
Weight:- Value: Sales Department, Share 6
- Value: Purchasing Department, Share 3
- Value: Administration Department, Share 4
- Value: Support Department, Share 2.
- Distribution key Telephone and Internet costs (larger share of Sales and Support Department):
Weight- Value: Sales Department, Share 35
- Value: Purchasing Department, Share 15
- Value: Administration Department, Share 15
- Value: Department Support, Share 35.
To set up an analytical accounting view, the following steps must be completed:
- Create analytic view
- Create scope
- Manage dimensions (for more advanced views)
- Create value
- Create distribution key (distribute revenue and/or costs across multiple values)
- Create allocation rule.
A distribution key can be created from several places in Yuki:
- Click on the Financials icon in the navigation bar and then click on Analytical accounting. In the now-opened screen, select the tab of the analytic view for which you want to create an distribution key and click on the Go to dashboard button. In the now-opened screen, click on the Create... button. and then click on Distribution key in the dropdown menu.
- Click on the Financials icon in the navigation bar and then click on Analytical accounting. In the now-opened screen, select the tab of the analytic view for which you want to create an distribution key and click on the Go to dashboard button. In the now-opened screen, click on the Distribution keys tile and then click on the Create distribution key button.
The following screen is opened:
Description
Enter a clear description of the distribution key here.
Then, define the weight set to automatically distribute the transaction(s) across multiple values.
Start date (required)
Please indicate the date from which the weight set of this key is to be applied to the analytic transactions.
Value
Value
Select the value to which the analytic transactions should be assigned.
Share
Enter here the share (in up to 9 digits) of the analytic transactions to be assigned to the value.
It is not possible to enter decimals.
TIP!
The share can be indicated in percentages, in absolute numbers (e.g. number of employees), etc.
Then click on the + Add new button to select the next value and enter the corresponding share.

Finally, to save the weight set of the distribution key, click on the Create button.
Then, if necessary, make multiple distribution keys.
TIPS!
Click on the Distribution keys tile in the Dashboard of the analytic view to view all the distribution keys that have been created.
To create a new weight set for the distribution key, click on the description of the relevant distribution key and then click on the Create weight set button.
