Allocation rules

In this view, you will see all allocation rules currently created for the selected analytic view.


Allocation rules will automatically assign transactions to the desired value or allocation key based on your defined input criteria.


ATTENTION!

When assigning transactions, the allocation rule with the lowest number in the Priority column will be applied first to the assigned analytical transactions.


The more detailed the criterion the lower the number calculated by Yuki.


This means that an allocation rule with the criterion 'Transaction line description'' will have the highest priority, then an allocation rule with the criterion 'Contact name', etc.


Only a user with the ‘Portal administrator’, ‘Portal back office’, ‘Management’, ‘Financial administration’ or ‘External accountant’ role can create one or more allocation rules.


From this screen, a user can:

  • apply all allocation rules
  • create an allocation rule
  • modify an allocation rule
  • delete an allocation rule.


Click on the Financials icon in the navigation bar and then click on Analytical accounting.

In the now opened screen, select the tab of the analytic view whose allocation rule(s) you want to view and click on the Go to dashboard button.

Then in the now-opened screen, click on the Allocation rules tile.

The alocation rules of the example analytic view ‘Revenue and costs by department’ are already created here:


  • Input: GL category Sales costs
    Output: Value Sales department

  • Input: GL category Personnel costs: Payroll costs
    Output: Distribution key Payroll costs

  • Input: GL category Other operatiing costs: Office costs
  • Output: Value Administration department

  • Input: GL category Housing costs
    Output: Distribution key Housing costs

  • Input: GL category Cost of revenue
    Output: Value Purchasing department

  • Input: GL account Books, prospectuses and, documentation
    Output: Value Support department

  • Input: GL account Telephone and internet costs
    Output: Distribution key Telephone and internet costs

  • Input: GL accounts 80000-80008
    Output: Value Sales department.



Apply all allocation rules

To apply all created allocation rules, click on the Apply allocation rules button. This will assign the transactions remaining to be assigned from the first day of the analytic view to today's date based on the allocation rules created.


The following screen is opened:



If necessary, select the appropriate administration and then click on the Apply button.


Create allocation rule

To create a new allocation rule, click on the Create allocation rule button.

Change allocation rule

Hover your mouse over the line of the respective allocation rule, click on the button with the three dots and then click on Edit in the dropdown menu.



The followiing screen is opened:



Change the relevant data and then click on the Save button.


Delete allocation rule

Hover your mouse over the line of the relevant allocation rule, click on the button with the three dots, and then click on Delete from the dropdown menu.



The following screen is opened:



Click on the Delete button to actually delete the allocation rule.


ATTENTION!

The transactions assigned based on the removed allocation rule remain assigned, only the allocation rule is actually removed.
