Set tags

A tag is in principle a label that can be stuck on different digital data. In this way they are easy to identify and retrieve in Yuki. One or more tag(s) can be added to:

  • tasks
  • appointments
  • contacts
  • documents
  • projects
  • email.


Each user with access to the domain can view the details of the tag or create a tag.


Only a user with the 'Back office' role in the domain or the 'Management' role can change, delete or merge the tag with another tag.


Only a user with the 'Management' role can merge or delete tags in bulk.


A practical example of the use of tags is the creation of a mailing list with Yuki email.


A tag like for example 'tag1' can be added to each contact in the address book. When you click the search button at the right of the recipient ('to') field when writing a email you can here click 'Choose tag'. When you select ‘tag1’ here the email will be sent to all contacts with this tag. In this way each person doesn't have to be selected separately.


You can also direcly enter the tag in the address field. The email will then be sent immediatley to all contacts. When you create the name of een employee or contact as TAG there is thus a risk that the email is sent to the mailing list and not to the addressee!!


TIP!

The 'Bulk action' feature in Contacts (CRM) can be used to add a tag to a number of contacts at one time.


You can also find the tags in a domain via the tag cloud in the Archive. 


All configured settings like the settings of the tags are gathered and categorised in one place in your domain.


Open the settings of your domain by clicking on the Settings icon in the navigation bar and then, in the now-opened screen, click on Tags.


The following screen is opened:



TIP!

When Yuki WKR is activated you have by default a number of WKR tags at your disposal that you can link to transactions.


The Bulk merge en Bulk delete buttons are only available to a user with the 'Management' role.

By clicking on these buttons the selected tags can be merged or deleted in bulk.


Click on > in front of the relevant tag in order to view or change the details of the tag, delete the tag or merge the tag with another tag.



You can also see here at the usage summary how often the tag has been added to certain digital items.


Create tag

Click on the + New tag button in the upper left of your screen in order to create a new tag in a domain.


By right-clicking on the tag in the tag cloud in the Archive you can also create a new tag.



The following screen is opened:



Tag

Here you have to enter the name of the tag.


Description

Enter a clear description of the tag.


Inactive

Specify whether the tag is acitve or inactive at this moment. An inactive tag cannot be selected and therefore cannot be added to digital data.



Then click on the Save button.
