The Bulk action feature allows you to efficiently edit or delete multiple contacts at once. This is useful, for example, for quickly assigning a tag to a specific group of contacts for a bulk email campaign, or for cleaning up your address book.

Access to Bulk action

To access:

  • click on the Contacts icon in the navigation bar
  • then click on Bulk action.

The following screen is opened:

Change tags in bulk

Using Change tags, you can assign a tag to a selection of contacts in a single step.

To change tags:

  • click on Change tags on the Bulk action screen
  • use the available filters and the search bar to select the desired contacts (see Filter and search options below).
  • select the desired tag from the dropdown menu.
  • click on the Update button.

After updating, the added tag briefly appears behind each selected contact as confirmation.

ATTENTION!

Using the Bulk action, you can add a maximum of one tag to a contact at a time. If you want to add a second or additional tag to a contact, open the individual contact card and select the additional tag manually using the magnifying glass icon in the Tags field.

Delete contacts in bulk

Using the Delete contacts option, you can delete multiple contacts from your records at once.

To delete contacts:

  • click on Delete contacts on the Bulk action screen
  • use the filters to find the contacts you want to delete
  • select the relevant contact(s) and click on Delete

The following message will appear on your screen:

  • confirm the action by clicking on OK.

A message will then appear at the top of the screen showing the number of contacts that were successfully deleted.

Filter and search options

To quickly select the right contacts for a bulk action, you can use the following search and filter options:

  1. Only show the active, the inactive ór all contacts.
  2. Choose the filter that you want to apply on the contacts: all fields, Name, City, Postal code, Tag, Email address, Website, Phone, Contact code, CoC number, VAT number, Bank account or Supplier code.
  3. Then enter the actual selection criteria. By clicking on the Search button the filter is applied to the list.
  4. Show all contacts.
  5. Only show the contacts in my address book.
  6. Show extra filters in order to group the contacts:
    • With entries on a GL account: you can enter a GL account in the search box. Nmbrs Accounting wil now show all contacts that have entries on that GL account.
    • With sales invoices: Nmbrs Accounting shows the contacts to which sales invoices are linked.
    • With purchase invoices: Nmbrs Accounting shows the contacts to which purchase invoices are linked.
    • With sales item: if you enter a sales item in the search box Nmbrs Accounting will show the contacts to which that sales item has been delivered.

  7. Download the overview shown as a PDF file.

By clicking on a letter of the alphabet all contacts whose name starts with that letter will be shown.
