How can I export data and documents?

Yuki's service aims to keep all documents and data online in the Yuki environment and easily accessible. However, it can sometimes be convenient to take certain data or documents out of the Yuki environment again. This is done by exporting files. In Yuki, you can make use of export options at the portal, domain and administration levels.


In each screen where you can download data or documents, you will find one of the following buttons in the top right of the relevant screen:




Export options in portal


ATTENTION!

Only a user with a 'Back Office' role in the portal can export data from the portal.

Only a user with the 'Portal administrator' role can download the 'Transactions' report.



Export possibilities in domain


  • Export addresses (via Contacts (CRM), Import & Export)
    The main purpose of exporting addresses from Yuki is to then import them back into another place so that the contacts are available there as well. Think of Microsoft Outlook, smartphones, organizers, PDAs and other yuki domains. It is not possible with Yuki to synchronize addresses.

  • Export financial transactions (via Financials, Export)
    To get an overview of financial transactions per general ledger account, it is possible to export them. Usually this is done at the end of a financial year so that you have a full year's overview at your disposal. This overview can possibly be printed or audited by the accountant.

  • Export documents (via Archive)
    You can export all documents from your archive, or part of them, to your hard drive in case of termination of the contract or keeping your own backup. To export (part of) the archive, Yuki creates a ZIP file containing all the documents you selected.

  • Export statements (via Bank, Export statements)
    You can export all transactions from your cash statements, bank statements, credit cards and electronic statements at once.


ATTENTION!

Only a user with a 'Back Office' role in the domain or the 'Management', 'Financial Administration' or 'External Accountant' role can export addresses, financial transactions and statements from the domain.


Only a user with the 'Management' role can export all documents from the Archive.

A user with the role 'Back office' role in the domain can export only the documents from the financial folders (gray folders).


In a domain with the Minimal version of Yuki, only a user with a 'Back office' role in the domain can export financial transactions.

From an administration, you can export or download a number of overviews in XLS, pdf or CSV format.

ATTENTION!

The overviews that can be exported or downloaded by a user depend on your bundle, your user rights in a domain and additional features added to a domain.
