History (Scan/upload batches)

n Yuki, you can submit documents in various ways: by uploading, emailing, synchronizing, via a web service, or digitally via the Peppol network.


In the History overview, you can see exactly when and by whom a batch (group of documents) was submitted and what its current status is.



Access to History

To access:

  • click on the PO Box icon in the navigation bar
  • then, in the now-opened screen, click on History.

In this screen, you can view the details of all submitted batches.



Submission type (column 'Type')

In the Type column, you can see for each batch how the documents were received in Yuki:


Upload ((manually added via the computer)
E-mail ((submitted to the unique email address)
Web service (automatically linked via external software)
Peppol (secure digital invoicing network)



Private column

When a number appears in the Private column, this means that these documents have been uploaded accidentally or intentionally to one of the folders on the bottom shelf of the Archive (the personal/private folders).


These documents do not enter the back office workflow to be processed in your financial administration. The private documents must be placed in the correct folder by yourself.



Filters

You can filter by user batches in this screen:

  • the batches of all users with access to your domain
  • only the batches of a specific user.



Manage batches (Batches view)

Do you want to see which documents are in a specific batch? Then click on the arrow (>) next to the batch line or on the date of the batch.


The following screen is opened:



In this details screen, by clicking on one of the buttons in the top left of the screen, you can:

  • place all selected documents in a specific folder
  • merge them into a single bundle
  • delete them.



Who is allowed to delete documents?


Full rights: Users with the role Back office, Management, Financial Administration, or External accountant can delete all documents from the workflow.


Limited rights: Users with another role can only delete documents that they have uploaded themselves.

Document(s) view of batch

The batches can also be viewed in the Document(s) view. To do this, select this view from the dropdown menu.


 

The following screen is opened:



In this view you can use the following buttons and/or dropdown menus::

  1. Switch the screen display: Batches, Document(s) or Pages.
  2. View all documents, only the pending documents or only the settled documents.
  3. Select the period that should be shown. This could be all documents or all the document per year, half year, quarter or month.
  4. List view (details) of documents.
  5. View the documents as thumbnails (see screenshot above).
  6. Specify the size of the thumbnails in your screen: Default, Small, Large or Extra large.
  7. Sort the documents by Date or Name.
  8. Search for specific documents.
  9. View documents of a specific administration or of the entire domain.
  10. In the Thumbnails view, the following buttons appear below each submitted document.: Edit, delete or rotate the document to the left or right.
