Document deletion by user

In certain situations, a user can delete a document themselves. This depends on the current status of the document in Yuki:

  • The document has been scanned or uploaded and is still in the 'To behandled by Yuki' folder as a non-financial document (document type 'Standard').
  • The document has been processed and stored in the Archive and is not a financial document.
    Non-financial documents in Yuki are documents of the type 'Standard'; when processing these, no financial transactions are posted.
  • The document has been processed and is a financial document such as an invoice.


ATTENTION!

Only a user with a 'Back office' role in the domain can delete a financial document.


When you delete documents or transactions, they are not immediately permanently removed, but placed in the 'Deleted documents' (trash) folder.

'To be handled by Yuki' folder

In the Archive, click on the To be handled by Yuki folder. Here you can view the documents that are waiting to be processed by Yuki.

A document can be deleted by hovering your mouse over the line of the relevant document, clicking on the button with the three dots  and then selecting the Delete menu option in the dropdown menu.


ATTENTION!

As long as the document to be deleted is of the 'Standard' document type, it can be deleted by any user.




Processed non-financial documents in the Archive

Select a non-financial document from the Archive. In the document that has opened, you will now see several buttons at the top of your screen. Depending on your role in Yuki, more or fewer buttons are available. With the Delete this record button (trash bin), you can delete the document.




Processed financial document

As a user, you cannot delete financial documents yourself. This was done primarily for the VAT return. It's also possible that payments have already been matched to an invoice.

If you still want to delete a financial document, you can click on the Create question for backoffice button. By asking the back office the question, you can indicate that a specific financial document needs to be deleted. The back office can then assess whether the document can be deleted and subsequently actually delete the document.
