Yuki Payment service (Payment list)

The Yuki Payment service (Payment list) feature is integrated into the Bank functionality.


You can use the payment list to manually pay your documents (outstanding items) or to create a batch file (SEPA payment file) that allows you to pay multiple documents at once. 


Yuki Payment service (Payment list) is only available when a user with the 'Management' role has selected the bundle Small, Medium, Large or Unlimited via the Yuki Store in the domain.

What’s included in the payment list?

The payment listcontains all items that still need to be paid:

  • Purchase: invoices with the payment method “bank transfer” or “payment slip.”
  • HR: employee expense claims and pay slips
  • Taxes: tax assessments and VAT payable (automatically generated from the VAT return)
  • Sales: sales credit note.



Advantages

Important advantages of paying via the payment list include:

  • No duplicate payments: once paid, the item is immediately removed from the payment list
  • Error-free: amounts and references are automatically transferred; no manual retyping is required
  • Flexibility: you can temporarily block entries for payment

  • Overview: additional control over your balance and outstanding items.



Partial payments and split payments (via SEPA payment file)

You can make partial payments or split payments directly from the payment list:

  • Partial payment: you pay only a portion of the outstanding amount on a document.
  • Split payment: you divide the outstanding amount on a single document among multiple recipients or bank accounts.

Roles and security

Not every user has the same permissions within the Payment list.


Payment authorization

The following roles can manually pay invoices, manage SEPA payment files (create/edit/delete), validate bank accounts, finalize SEPA payment files, and send them to the bank:

  • Management
  • Financial administration
  • External accountant.


Payment list security

To add an extra layer of security, security settings can be configured. This can only be done by:

  • the domain owner (who also holds the ‘Security manager’ role by default)
  • a user with both the ‘Management’ and ‘Security Manager’ roles.

To enable payments via the payment list in Yuki, please note the following:

There are several ways to pay for documents in the payment list:




 



Access to payment list

To access:

  • click on the Sales icon in the navigation bar
  • then, in the now-opened screen, click on Payment list.

The home screen of Yuki Payment service is by default opened in the 'To be paid' view:





Work lists

The payment list has four work lists:

  • To be paid: all items that can be paid manually or via a SEPA payment file.
  • Pending approval: all items that must first be approved (released) before they can be paid.
  • Payments in transit: all items that have already been paid via debit card, credit card, direct debit or SEPA payment file but still need to be matched with the payment. 
  • Payment history: overview of created draft and final SEPA payment files.



Add additional columns

You can add additional columns yourself via the Customize the columns shown button (four vertical bars):

  • Amount FC: amount in foreign currency
  • Project: project to which the document to be paid is linked
  • Currency: foreign currency.



Filters

You can filter the data shown in the payment list by:

  • Show only overdue documents
  • Pay before: indicate here whether all documents should be shown that are payable before, on or after the selected date.


    ATTENTION!
    This filter is not available in the 'Payment history' work list.

  • Document type: payroll documents only or all other documents.


Extended filter

You can also use an extended filter by clicking on the filter button in the top-right corner of the search bar/filter bar:



This allows you to filter the shown data by task status:

  • Pending
  • Approved
  • Released
  • Rejected.
