To send a new quotation to your customer, the following steps must be followed:
- prepare the quotation for sending to the potential customer
- add notes, if necessary
- check and change, if necessary, the quotation date and/or the sending method
- process the quotation in the administration, ensuring that it is actually sent to the potential customer.
Click on the Sales icon in the navigation bar. Subsequently, click on Quotations and then, in the now-opened screen, select the work list Invoices ready to be sent.
Open the quotation whose quotation date and/or sending method you want to check by clicking on the subject of the relevant quotation.
The following screen is opened:
From this screen, a user can:
- change the quotation date and/or sending method
- save the quotation as 'Ready to send'
- delete the quotation.
Change quotation date and/or sending method
In a quotation to be sent, you still have the option to check and, if necessary, change the quotation date and/or sending method before actually processing and sending the quotation.
Quotation date (required)
The quotation date shown is always today's date. Select a different quotation date here if required.
Sending method (required)
The sending method as recorded by the customer is automatically entered in this field. However, if no sending method is specified with the customer, the sending method entered in the Sales settings under Quotations will be used.

If necessary, change the sending method of the quotation:
- Send by email: the Email field shows the email address already entered for the customer. If necessary, enter the customer's email address. If no email address is known, the quotation will not be processed.
- Send by post: the quotation can be printed and/or downloaded immediately after processing.
Do not send quotation by email: the quotation is processed in the administration but not sent to the customer.
Save quotation as 'Ready to send'
To save the quotation again as an quotation to be sent, click on the Save as 'Ready to Send' button.
Delete quotation
To delete a quotation to be sent, click on the Delete button.
In the now-opened message, click on the Yes button to actually delete the quotation.
