Quotations settings include data such as the default quotation layout, sending method, validity period, and a unique quotation number.
You can define the following settings for sales invoices and quotations: Each setting is described in detail in a separate article. |
Access to settings
All settings for your sales invoices, quotations and contractsi are centralized within your domain and divided into logical categories.
To access these settings:
- click on the Settings icon in the navigation bar
- click on Sales settings in the now-opened screen
- then scroll to Quotations.
Quotations settings

After clicking on the Edit button, the settings below for the quotations can be entered in the sales settings.
Default layout
This quotation layout is entered as a preferred value when creating a quotation.
Sending method (required)
The default sending method for quotations should be selected here:
All by email: if no email address is known or the customer-specific setting is set to 'Postal', the quotation will not be processed
All by regular mail: a print file is created from the processed quotes. If the customer-specific setting is set to 'Email', the quotation is not processed
By email when possible: depending on the customer-specific setting and the presence of an email address, it is determined whether the quotation is sent by email or by post.
A print file is created from the 'by post' quotations.
Do not send: the quotations are processed in the administration but not sent.
Validity (days) (required)
Indicate here within how many days you want customers to respond to your quotations. Based on the quotation date, the validity date is calculated.
You can have this printed on your quotation.
A validity period of 14 days is common.
Prefix quotation
Make your quotation number recognizable, let it start with 18.xxx, for example, where the 18 stands for 2018. Start with a new series every year.
Don't make the number longer than necessary. That only costs your customer more input work to record the quotations.
You may use a . as a separator to make longer number easier to read (for example: 215.018).
Next quotation number (required)
The number you enter here will be used for the next quotation you process.
Avoid duplicate quotation numbers. So if you have already sent quotations before working with Yuki, let this number follow the last number used.
TIP!
Please choose a minimum 5-digit number. In order to properly recognize the quotations, the quotation number must be a sufficiently unique value.
Four digits can be confused with zip codes. Two or three digits are also not sufficiently distinctive.
Quotation number on the next quotation
This number will be automatically filled with the number you entered in the Next quotation number field.
