When you, as an accountant or accounting firm, set up a new portal in Nmbrs Accounting, you follow a standard process: from technical setup and client onboarding to daily processing:

TIP!
At a later stage, you can set up automation at the portal and domain levels and run monthly audit routines for verification purposes.

Getting started with new portal
Set up portal with domain for use
The Nmbrs Accounting accountant portal is built on a flexible hierarchy. Firm employees can gain access to multiple accountant portals, with their permissions precisely tailored through roles at the portal or domain level.
When a new domain is set up, the system immediately creates the first client file.
Within a single domain, it is possible to manage multiple separate client files concurrently.
This is ideal for holding company structures or a group of companies (for example, one holding company and two operating companies within the same customer domain).

Manage domain with administration(s)
Within the Nmbrs Accounting portal, various actions are available to manage contracts, access rights, internal communication, and settings at the domain level.

Enter company profile
After creating a new domain, you set up the basic information for the company (or companies) for which you’ll be handling the accounting. In this phase, you not only record the company’s master data but also configure crucial accounting and tax settings, such as the start date in Nmbrs Accounting and the VAT parameters.

Further set up administration
After entering the basic accounting data, you can grant the customer immediate access. To ensure that the processing of documents and bank transactions runs smoothly right away, we recommend completing a few configuration steps first.

Onboarding customer
Clear communication is crucial for a smooth transition to the new software. By informing clients in a timely manner, actively guiding them through the setup process, and allowing them to take advantage of the trial period, they can get used to the new system without any worries:
- Inform and prepare customer
Before you can actually start using Nmbrs Accounting, you’ll need to work with the entrepreneur during the setup phase to enter certain details about the administration.

Ask the customer to link their business bank account(s) to the software.
ATTENTION!
The steps for activating a bank accounting link vary by bank. Send the customer the specific instructions from their own bank (e.g., Rabobank, ABN AMRO, ING). - Explain the Trial period (Small bundle)
Inform the customer about the 4-month trial period for the Small bundle.
Emphasize that this period is intended to allow them to get used to the new digital workflow at their own pace, without any immediate package restrictions.
Process submitted documents and bank transactions
The Back office workflow ensures that all submitted documents and bank transactions are efficiently routed to the correct destination. Documents that cannot be processed automatically are sent to the “Bundle Bin” or the “To Be Processed” workflows for manual review and processing.
Bundle bin
Uploads with an image file extension (.jpg, .jpeg, .gif, .png) are automatically routed to the Bundle bin first.
Review these files and determine whether multiple separate photos (e.g., the front and back of a receipt) need to be combined into a single document before forwarding them to the processing workflow.
ATTENTION!
PDF files bypass the Bundle Bin and proceed directly to automatic recognition.

'Documents to be prcoessed' workflow
All documents (PDFs and processed bundles) that have not been automatically recognized or processed by Nmbrs Accounting are routed to this workflow. The back office then processes these documents manually.

'Bank transactions to be prccessed' workflow
Bank transactions that cannot be automatically matched to an open entry or category are routed to the “Bank Transactions to Be Processed” workflow. The back office manually assigns these transactions to the correct GL account or contact.

Ask questions to the entrepreneur (customer)
From the portal, you can manage all questions related to the administrations you handle for customers. This includes all outstanding and/or resolved questions from the customer and the firm’s employees.
The PO Box in Nmbrs Accounting serves as the direct line of communication between the back office and users within a domain. To ensure privacy and efficiency, access to this communication is strictly regulated based on user roles.
