Change or delete price list or sales item(s) in price list

Updating a price list is essential for responding to changes in the market. Key reasons include rising operational costs, improved quality or expansion, changes in positioning and market value, price indexation, etc.



Access to price list

To access:

  • click on the Sales icon in then navigation bar
  • click on Price lists
  • then, in the now-opened screen, click on the description of the price list that you want to change or delete.

On this screen, you can see all the details of the price list and the sales items that have been added to it:



Inactive sales items

In this screen, you can also specify that only inactive sales items should be shown by clicking on the arrow next to 'Active items' and then selecting 'Inactive items'.



Filter by value from the Reference, Description, or Upcoming price change column

Double-click on a value from one of these columns to add that value as a filter to the filter bar.



AVAILABE USER ACTIONS

From a price list, a user can:

  • view past or future prices of sales items
  • delete the price list
  • view the contacts for which this price list is used
  • change the price list details
  • import sales items (via price list)
  • export sales items (via price list)
  • change prices of sales items in bulk
  • change or delete sales item from the price list
  • add a sales item (with new item price) to the price list.



View past or future prices of sales items

To view prices for a specific date in the past or future, enter a date in the Show price list as of field. The prices shown depend on the validity dates of the prices set for each sales item.




Delete price list

The standard price list can never be removed from an administration


A newly created price list can be deleted only if all sales items in the relevant price list have not yet been included in a sales invoice.


To delete a price list:

  • click on the button with the three dots
  • then select the Delete menu option from the dropdown menu


    The following warning message will appear on your screen:


  • click on the Yes button to remove the price list from the domain.


View contacts for which price list is used

To view all contacts (customers) in a price list to which this price list is linked:

  • click on the button with the three dots
  • then select the Contacts menu option from the dropdown menu

Change price list details

You can change the details of the opened price list by clicking on the Edit button.


The following screen is opened:



The price list details can be changed in the fields described below.


Name (required)

Enter a clear description for the price list e.g. 'Private customers' or 'Price list Germany'.


Company (only available with multiple administrations in a domain) 

Select the administration for which the price list is to be created.


Currency (only available if Yuki Vreemde valuta is activated)

Select the correct currency for the price list.


Including VAT (required)

Indicate whether the selling prices in this price list are inclusive or exclusive of VAT.


Standard price list excluding or including VAT

All sales items are normally linked to the standard price list. This is a price list excluding VAT. 

If you have no further need for more than one price list but actually only supply to consumers (including VAT), then it is sufficient to change the standard price list and indicate there that all sales prices include VAT.



After changing the details, click on the Save button to save the changed price list details.


Import sales items (via price list)

The import functionality can be used to import or update sales items in bulk in this price list.


To import sales items in the price list:

  • click on the button with the three dots
  • then select the Import menu option from the dropdown menu

Export sales items (via price list)

The export functionality can be used to export sales items from this price list.


To export sales items from the price list:

  • clcik on the button with the three dots
  • then select the Export menu option from the dropdown menu

Bulk update sales items details

If required, the details in the export file can be changed and then re-imported into the same price list in Yuki. This allows you to bulk update the sales items details in this price list.


Change prices of sales items in bulk

In Yuki, you have the option to change the item price, the validity date of this price and/or the VAT rate of a number of sales items at once so that you can, for example, change all prices in advance for the future.

Change or delete sales item from price list


Change price list details

To change the details  of a sales item, click on the pencil icon (Edit). In the now-opened total overview of the sales item, the sales item details can be changed.


The details of the sales item are changed in all price lists in which this sales item is included.

Delete sales item from price list

To delete a sales item from this price list, click on the bin (Delete)



A warning message will now appear in your screen where, by clicking on the Yes button, you actually delete the sales item from this price list.



The sales item is only deleted from the opened price list and is still present in all other price lists.


The sales item cannot be deleted from the price list when the item is included in a draft invoice or sales invoice to be sent.


Add sales item (with new item price) to another price list

To add a sales item to this price list, click on the Add a sales item button.
