Create payment methods

Which settings you can specify in a domain depends on the selected bundle (and any additional features added) and the role(s) you have as a user in the domain.


In Yuki, you can define a number of financial settings in a domain that will affect how Yuki works. These include available countries, associated currencies, Yuki's chart of accounts, VAT rates, etc. 


There are a number of default payment methods available in Yuki that you can currently use in the domain when booking a sales invoice. 


For payment of sales invoices within Yuki, it is possible to create custom payment methods. These customized payment methods can be used with different scenarios, such as:

  • Sales invoices uploaded and processed by the back office: This refers to all invoices manually added and managed by the administrative team.
  • Invoices created within the Sales functionality of Yuki: These invoices are created directly in Yuki and can be easily provided with the created payment methods.
  • Invoices created via the Sales web service based on an XML message: Here, API users use the <PaymentMethod> field in their XML messages to apply a custom payment method, after which the Sales web service generates an invoice.


When a custom payment method is created, it can be selected immediately when processing or creating a sales invoice.


In addition, Yuki automatically creates the corresponding suspense account for the created payment method in the domain's chart of accounts.


Sales invoices that are recorded with an online payment method such as PayPal, AfterPay, Klarna, etc. do not end up in the outstanding debtors, but are immediately recorded on the corresponding suspense account PayPal, AfterPay, Klarna, etc.


Only a user with a 'Back office' role in the domain or the role 'Management', Financial administration' or 'External accountant' can view this overview and create payment methods.




In Yuki, you can record the following financial settings:



Access to financial settings

All saved settings, such as payment methods, are centralized within your domain and organized into logical categories.


To access these settings:

  • click on the Settings icon in the navigation bar
  • then, in the now-opened screen, in the Financial section click on Payment methods.



Payment methods overview




This screen shows all payment methods that are standard available in Yuki for processing or creating a sales invoice or that can be used in an XML message to be provided by the Sales web service.


From the payment methods screen, a user with the 'Back office' role in the domain or the role 'Management', 'Financial administration' or 'External accountant' can:

  • view the created payment methods
  • create a new payment method
  • change the description of the payment method
  • delete the payment method.


Views

You can also indicate in this screen that the Custom view should be shown:



In this screen you will see all payment methods that you have created yourself.


Create payment method

To create a payment method in the domain, select the Custom view and then, in the now-opened screen, click on the Create payment method button.


The following screen is opened:



Enter the description of the new payment method.


Then click on the Save button to add the payment method to the domain.



For example, Yuki will now automatically create the corresponding suspense account ‘23340 Suspense account PayPal’ in the domain's chart of accounts for the online payment method created.


Change description payment method

To change the description of a payment method:

  • hover your mouse over the line of the relevant payment method
  • click on the button with the three dots
  • then select Edit from the dropdown menu.



The following screen is opened: 



Change the description of the payment method and then click on the Save button.


Delete payment method

To delete the payment method:

  • hover your mouse over the line of the relevant payment method
  • click on the button with the three dots
  • then select Delete from the dropdown menu.



If no transactions have been recorded with the payment method, it will be deleted. The corresponding suspense account automatically created by Yuki is not deleted but can be reused.
