Quotations to be sent

In Yuki you can view a work list of all quotations to be sent. Always check the settings of these quotations before they are actually sent.


All quotations to be sent can also be found in the Sales folder, on the Quotations tab in the Archive.


Change quotation to be sent details

The quotation date, sending method and/or email address of a quotation to be sent can still be changed and saved again.

If other details have to be changed, such as a quotation line, it is possible to save the quotation to be sent again as a draft quotation. 



Access to Quotations ready to send

To access;

  • click on the Sales icon in the navigation bar
  • click on Quotations
  • then, in the now-opened screen, select the Ready to send work list from the dropdown menu.

On this screen, you see the details of all quotations that are ready to be sent to customers.



AVAILABLE USER ACTIONS

From this work list, a user can:

  • change a quotation ready to send
  • process and send quotation to customers
  • view the document
  • view the contact 
  • put quotations that cannot or should not yet be sent to customers back into draft
  • delete quotations ready to send.


Change quotation ready to send

To change a quotation ready to send:

  • click on the subject of the quotation ready to send you want to change before you process it and therefore actually send it to the customer.

    The following screen is opened:


  • after changing the delivery details of the quotation ready to send, it can be saved again as a quotation ready to send by clicking on the Save as 'Ready to send' button.


Change customer details, quotation lines, and additional details

To change all other details of the quotation ready to send (customer details, quotation lines, and additional details), click on the Back button.


Process and send quotation to customers

To process and send a quotiation to a customer:

  • select the quotation you want to send to customers
  • then click on the Edit button to process the quotation in the administration and actually print it and/or send it by post or e-mail.


Quotations sent by post

All quotations delivered by post will end up in a so-called PDF batch print file after processing. This PDF file is saved in the folder 'Sales' with the name 'Quotations print file [date] [time]'.


View document

To view a document:

  • click on the subject of the document


    OR

  • hover your mouse over the line of the relevant quotation

  • click on the button with the three dots

  • then select the View document menu option from the dropdown menu.



In the now-opened screen, the delivery details of the quotation ready to send can be changed and then the quotation can be saved again as a quotation ready to send or actually send to the customer.


View contact

To view the contact of a quotation:

  • hover your mouse over the line of the relevant quotation
  • click on the button with the three dots
  • then select the View contact menu option from the dropdown menu.


The contact card of the relevant contact is now opened.


Set quotations back to draft

All selected quotations in the work list that cannot or should not be sent yet can be set back to draft by clicking on the Move to drafts button. 



The quotations disappear from the ‘Ready to send ’ work list and are moved to the ‘Drafts’ work list.


Put one quotation back to draft

To set one quotation back to draft:

  • hover your mouse over the line of the relevant quotation
  • click on the button with the three dots
  • then select the Move to drafts menu option in the dropdown menu.



Delete quotations ready to send

To delete quotations ready to send:

  • select the quotations ready to send you want to remove from your administration
  • click on the Delete button.


    The following message appears on your screen:

  • hover your mouse over the line of the relevant quotation
  • click on the button with the three dots
  • then select the Delete menu option from the dropdown menu.
