Draft quotations

In Yuki you can view a work list of all quotations that have been created but cannot or should not be sent to your customers.


All draft quotations can also be found in the Sales folder, on the Quotations tab in the Archive.


Change draft quotation details

All details of a draft quotation can still be edited and saved again.



Access to Draft quotations

To access;

  • click on the Sales icon in the navigation bar
  • click on Quotations
  • then, in the now-opened screen, select the Drafts work list from the dropdown menu.

On this screen, you view the details of all created quotations that are not yet ready to be sent to customers.



AVAILABLE USER ACTIONS

From this work list, a user can:

  • change a draft quotation
  • prepare one or more draft quotations for sending to customers
  • view the document
  • view the contact
  • delete one or more draft quotations.


Change draft quotation

To change a draft quotation:

  • click on the subject of the draft quotation that you want to change before, for example, preparing it for sending to your customer.

    The following screen is opened:


  • after changing the details of the draft quotation, it can be saved as a draft quotation again (in the 'Drafts' work list) by clikcing on the Save as draft button.

To view a screen preview of the changed draft quotation and, if required, prepare the quotation for sending (in the 'Ready to send' worklist), click on the Next button.


Prepare draft quotations for sending

To prepare the draft quotations for sending

  • select the draft quotations you want to prepare for sending to your customers
  • then click on Ready to Send at the top of the screen.


The quotations disappear from the 'Drafts' work list and are moved to the 'Ready to send' work list.


Prepare one draft quotation for sending

To prepare one quotation for sending:

  • hover your mouse over the line of the relevant quotation
  • then click on the Ready to send button.


The quotation disappears from the ‘Drafts’ work list and is moved to the ‘Ready to send 'work list.


View document

To view a document:

  • click on the subject of the document

    OR

  • hover your mouse over the line of the relevant quotation

  • click on the button with the three dots

  • then select the View document menu option from the dropdown menu.


In the now-opened screen, the draft quotation can be changed and then saved as a draft quotation or prepared for sending.


View contact

To view the contact of a quotation:

  • hover your mouse over the line of the relevant quotation
  • click on the button with the three dots
  • then select the View contact menu option from the dropdown menu.


The contact card of the relevant contact is now opened.


Delete draft quotations

To delete draft quotations:

  • select the draft quotations you want to remove from your administration
  • then click on Delete at the top of the screen.


    The following message appears on your screen:


  • click on the Delete button to actually delete the selected draft quotations.


Delete one draft quotation

To delete one draft quotation:

  • hover your mouse over the line of the relevant quotation
  • click on the button with the three dots
  • then select the Delete menu option from the dropdown menu.
