Local OCR match rules

In Yuki submitted documents will be processed automatically as much as possible. Besides scanned documents, also PDF, Office files and UBL/XML invoices can be processed automatically.

The automatic document processing takes place during the so-called Intelligent Document Recognition (IDR) process. This process can classify, index, process and validate documents. This intelligence provides the basis for YUKI RA i.e. YUKI Robotic Accounting.

TIP!

The moment a purchase or sales invoice is not 100% recognised by Yuki's IDR (Intelligent Document Recognition), there is the option of using the Maximum Recognition service (provided by Lyanthe, a Visma company). This increases the number of recognised invoice fields and reduces the time needed to process invoices manually.

However, the recognition of documents can be further improved by using OCR in Yuki. OCR stands for Optical Character Recognition (Extract text from an image).


Based on the recognised data the document type and the contact of the document amongst other things are determined. This however doesn't always produce the desired result. In order to further improve the automatic processing rate it is possible to create local OCR match rules in a domain. 


Only a user with the 'Back office' role in the domain or the 'Management', 'Financial administration' or 'External accountant' role can view OCR match rules.


View OCR match rules

All created local OCR match rules in a domain can be viewed from different places in Yuki: 

  • Hover your mouse over the Archive icon on the navigation bar and then click OCR Match rules
    OR
  • Click OCR match rules in the entry screen of a document


    The following screen is opened:


The Accuracy column shows the percentage of documents whose contact was correctly recognised by the corresponding OCR match rule.

By hovering your mouse over the percentage, a pop-up will appear with more details about the accuracy.


All columns in the overview, except 'Projectand 'Bycan be sorted descending or ascending. Only the criteria fields that are filled in the OCR match rule will be shown in this overview.


By clicking > in front of an OCR match rule you can view all Matches of the match rule.



Below Matches you can find all documents of which the data comply with the criteria in the relevant OCR match rule.


The Delete and Edit button that you can use to change or delete an existing match rule are only available for a user with the 'Back office' role in the domain.
