Default values (local processing rules) in domain

For a supplier or customer, you can define a number of default values for automatic processing of purchase invoices, sales invoices and/or Yuki sales invoices (sales invoices generated using the Sales functionality in Yuki). These values can be entered per administration.

When processing a purchase invoice, sales invoice and/or Yuki sales invoice from this supplier or customer, the default values are automatically filled in for you.


Only a user with the 'Back office' role in the domain or the 'External accountant' role can set default values.


The default values are crucial settings to enable fully automatic processing of documents!


A number of default values from one supplier or customer together form a document processing rule. It is also possible to create multiple default values (processing rules) at document and line level. 


Default value (document level): applying one or more processing rules to purchase and/or sales invoices from the same supplier or customer

This allows different invoices to be posted to different general ledger accounts


UBL rule (line level) (only for invoices in UBL format): applying one or more processing rules within one purchase and/or sales invoice from a specific supplier or customer.

This allows invoice lines in one UBL invoice to be posted to different general ledger accounts (e.g. an invoice from Sligro).


From this screen, a user can:

  • create a default value or UBL rule
  • change the payment method of one or more default values
  • change a default value or UBL rule
  • delete one or more default values or UBL rules
  • view the contact.


Hover your mouse over the Contacts icon in the navigation bar, then click on Default values.


The following screen is always opened in the Default value view:



In the Linked UBL rules column, there is a tick if one or more UBL rules have been created for the relevant default value.


Views

You can also indicate in this screen that the UBL rule view should be shown:



Filters

In both views, you can filter the data shown by Document type

  • Purchase invoice
  • Sales invoice
  • Yuki sales invoice.


In addition, in the 'Default Value' view, you can use an extended filter by clicking on the filter button in the top right of the search bar/filter bar:



Allows you to filter the data shown by:

  • Payment method:
    • Electronic transfer
    • Direct debit
    • Cash
    • Debit card
    • Credit card
    • Will be refunded
    • Received cash
    • To be offset
    • Private payment
    • Received in private
    • iDEAL
    • Online
    • Mollie
    • any payment methods you have created yourself.
  • Processing:
    • Always (Always when 100% recognised / Always when all item lines are matched) 
    • Reliable history only 
    • Never (Manual).


ATTENTION!

As soon as you select more than one filter in the extended filter, they are applied as AND criteria.


You can search In the Search field for a default value by Contact.


Create default value or UBL rule

To create a default value or UBL rule, click on the Create button and then select the Default value or UBL rule menu option.

Change payment method of default values

Select the default values whose payment method you want to change. Then click on Change payment method at the top of the screen.



The following screen is opened:



Select the appropriate payment method for the default values and then click on the Change button.


The payment method of all selected default values has now been changed.


Change default value or UBL rule

To change a default value or UBL rule, hover your mouse over the line of the relevant default value or UBL rule and then click on the Edit button.



The following screen is opened:  



Change the Input and/or Output data and then click on the Save button.


Delete default values or UBL rules

Select the default values or UBL rules you want to delete. Then click on Delete at the top of the screen.



The following screen is opened:



The selected default values or UBL rules are deleted.


TIP!

To delete one default value or UBL rule, hover your mouse over the line of the relevant default value or UBL rule, click on the button with the three dots and then select Delete from the drop-down menu.



The following screen is opened:



Click on the Delete button to actually remove the default value.


View contact

Hover your mouse over the line of the relevant contact, click on the button with the three dots, and then select View contact from the drop-down menu.



The contact card of the relevant contact is now opened.


TIP!

You can also view the defined default values of a supplier or customer by opening the corresponding contact card and clicking on Default values
