Local OCR match rules (Beta)

In Yuki, submitted documents are processed automatically as much as possible. For example, in addition to scanned documents, PDF, Office files and UBL/XML invoices can also be processed automatically.


Automatic document processing occurs in the process called Intelligent Document Recognition (IDR). This process can classify, index, process and validate documents. This intelligence is the basis for YUKI RA, or YUKI Robotic Accounting.

TIP!

At the moment when a purchase or sales invoice is not 100% recognized by Yuki's IDR (Intelligent Document Recognition) there is the possibility to use the Maximum Recognition service (provided by Lyanthe, a Visma company). This increases the number of recognized invoice fields and reduces the time required to process invoices manually.

However, to further improve document recognition, OCR can also be used in Yuki. OCR stands for Optical Character Recognition.


Based on this recognized data, the document type and contact of a document is determined, among other things. This does not always produce the desired result. To further improve the automatic processing rate, it is possible to create local OCR match rules in a domain. 


Only a user with the 'Back Office' role in the domain or the 'Management', Financial Administration' or 'External Accountant' role can view OCR match rules.


Only a user with the 'Back Office' role in a domain can create, change or delete local OCR match rules


From this screen, a user can:

  • view the OCR match rule
  • view the contact.


From this screen, a user with the 'Backoffice' role can:

  • create an OCR match rule
  • change an OCR match rule
  • delete OCR match rules in bulk.


Click on the Archive icon in the navigation bar, then click on OCR match rules.

In the entry screen of a document, click on OCR match rules.


The following screen is opened:



The criteria fields entered in the OCR match rule are shown as columns in this view. 


The Accuracy column shows the percentage of documents whose contact was recognized correctly by the corresponding OCR match rule.

By moving your mouse over the percentage, a pop-up will appear that contains more details about the accuracy.



The Matches column shows the number of documents whose data meets the criteria in the corresponding OCR match  rule. 


View OCR match rule

To view the details of the OCR match rule, hover the mouse over the line of the corresponding OCR match rule. Click on the button with the three dots and then select the View OCR match rule menu option from the dropdown menu.

View contact

To view the contact of the OCR match rule, hover the mouse over the line of the corresponding OCR match rule. Click on the button with the three dots and then select the View contact menu option from the dropdown menu.



The contact card of the contact is opened.


Create OCR match rule

To create an OCR match rule, click on the New OCR match rule button.

Change OCR match rule

To change an OCR match rule, hover the mouse over the line of the OCR match rule in question. Click on the button with the three dots and then select the Edit OCR match rule menu option from the dropdown menu.



In the now-opened screen, change the OCR match rule details and then click on the Save button.


Delete OCR match rules in bulk

To delete OCR match rules in bulk, select the OCR match rules you want to delete and then click on Delete at the top of the screen.



The following screen is opened:



Click on the Delete button to actually delete the OCR match rules.

To delete one OCR match rule, hover over the line of the OCR match rule in question. Click on the button with the three dots and then select the Delete menu option from the dropdown menu.

Click on the Delete button to actually delete the OCR match rule.
