Disclaimer
All screenshots in the article were taken in the Dutch version of Yuki.
After contract details, invoice details (invoice information) and invoice lines are entered, a contract can be completed.
Once the invoice date of the next invoice is reached (see the timeline shown), the recurring invoice will be automatically prepared by Yuki and sent manually or automatically if set, if required.
However, as long as a sales invoice has not yet been prepared by Yuki, the first invoice of a series of recurring invoices can also be generated immediately.
ATTENTION!
It is possible to generate this first invoice immediately on the contract start date.
That first invoice can be generated immediately from several places in Yuki:
- Create a new contract, enter the contract details and then select the Create first Invoice immediately option at the bottom of the screen before clicking on the COMPLETE button.
- Open a scheduled or an active contract and at the bottom of the now-opened screen click on the GENERATE INVOICE button
In the now-opened screen you have the option to save the invoice as a draft invoice, as a ready to send invoice, or process (and send) the invoice immediately.
Save invoice as an invoice to send or draft invoice
After saving the generated invoice as an invoice to be sent or a draft invoice, it is shown at the bottom of the scheduled or active contract in an overview of created invoices:
The ‘Match status’ column shows that the invoice has not yet been sent.
The invoice to be sent can be found in the directly opened work list ‘Invoices to be sent’. The draft invoice can be found in the directly opened work list ‘Draft invoices’.
ATTENTION!
When the draft invoice or the invoice to be sent is deleted from the work list ‘Draft Invoices’ or the work list ‘Invoices to be sent’ respectively, the created invoice will also be deleted from the contract.
For a detailed description of saving the invoice as a draft invoice or a ready to send invoice see article Save invoice as draft invoice or Prepare invoice for sending.
Process (and send) invoice directly
After processing (and sending) the generated invoice, it is shown at the bottom of the scheduled or active contract in an overview of created invoices:
The ‘Match status’ column shows that the invoice is still unpaid.
The sent invoice is opened immediately. You can find the sent invoice in the overview ‘Open invoices’.
