Change invoice date and/or sending method

In Yuki, it is possible to manually create a sales invoice and then send it to your customer by mail, email or via Peppol. Then, if necessary, the invoice can be handled correctly.




To send a new sales invoice to your customer, follow these steps:



Access to invoice ready to be sent

To access:

  • click on the Sales icon in the navigation bar
  • click on Invoices
  • then, in the now-opened screen, select the Invoices ready to be sent work list
  • open the invoice you want to prepare for sending by clicking on the subject of the relevant invoice.

AVAILABLE USER ACTIONS

From this screen, a user can:

  • change the invoice date and/or sending method
  • save the invoice as 'Ready to send'
  • delete the invoice.


Change invoice date and/or sending method

In an invoice to be sent, you still have the option to check and, if necessary, change the invoice date and/or sending method before actually processing and sending the invoice.


Invoice date (required)

The invoice date shown is always today's date. Select a different invoice date here if required.


Sending method (required)

The sending method as recorded by the customer is automatically entered in this field. However, if no sending method is specified with the customer, the sending method entered in the Sales settings under Invoice delivery will be used.

Change sending method

If necessary, change the sending method of the invoice:

  • Send by email: the Email field shows the customer's saved email address. Check it and enter a current email address if necessary. Without a valid email address, the invoice cannot be processed.

  • Send via Peppol: when the administration is registered with Peppol, this sending method is automatically chosen here for the customer when possible.

    ATTENTION!
    If the customer is not registered with Peppol, Yuki will not automatically select this sending method.


    When this sending method is selected manually, Yuki first checks the customer’s details, including address, Chamber of Commerce number, and VAT number. Missing information will trigger error messages.

    Click on the Add address link to enter the missing address of the customer.

    Yuki then checks whether the customer is registered with Peppol based on their Chamber of Commerce number and VAT number.


    Click on the Change financial details link to enter the customer's missing CoC number and/or VAT number.
    You can now send the invoice via Peppol if the customer is registered with Peppol.

    If it turns out that the customer is not registered with Peppol, the following message appears on the screen:


  • Send by post: once processed, the invoice can be printed and/or downloaded immediately..

  • Do not send invoice by email: the invoice is processed in the administration but not sent to the customer.


Save invoice as 'Ready to send'
To save the opened invoice again as an invoice ready to be sent, click on the Save as 'Ready to Send' button.


Delete invoice

To delete an invoice ready to be sent, click on the Delete button.


The following screen is opened:



Click on the Yes button to actually delete the invoice.
