Why does an MT940 file remain in the workflow?

Importing an electronic statement into Yuki can be done in one of the following ways:

  • Electronic statements are recognized by Yuki and then automatically imported and processed by Yuki.
  • Electronic statements are not recognized by Yuki and remain in the workflow as standard documents.
  • The electronic statement contains an error and remains in the workflow.
  • Electronic statement is a 'duplicate' of a statement that has already been processed and can be found in the Bank folder under electronic statements.

Electronic statement not recognized
If Yuki doesn't recognize the electronic bank file as an electronic statement, it will appear as a standard document in the 'Documents to be Processed' workflow.



Then, in the document type dropdown menu, select the correct document type: Electronic statement. The bank file will then be automatically imported into your administration if the export format is correct (Successful import).



Below is a brief description of the buttons:

  • Folder: place the electronic statement in a different folder.
  • Re-import: with a 'small' electronic statement (bank file), importing is started immediately, there is no need to wait for the IDR. It is not advisable to use this function with a 'large' electronic transcript.
  • Replace: the electronic statement can be replaced by another electronic statement (bank file) and is then automatically re-imported.
  • Standard: the electronic statement is converted into a standard document, which removes all bank transactions from the 'Bank transactions to be processed' workflow (read administration).
  • Delete: Delete the electronic statement, including the bank transactions.
  • Transaction details: financial entries linked to this document in Yuki.


Additionally, all bank transactions present in the electronic statement are added to the 'Bank transactions to be processed' workflow. These can then be processed in the administration in the way you are used to.


Electronic statement contains error

When Yuki recognizes the electronic bank file as an electronic statement but it contains an error, it appears in the 'Documents to be processed' workflow as an 'electronic' statement. The following screen will then be shown when opening the document (statmeent):



Below is a brief description of the buttons::

  • Re-import: the electronic statement is re-imported.
  • Delete this statement: the electronic statmeent will be deleted from the administration.
  • Convert to standard document: the electronic statement is converted into a standard document, which removes all bank transactions from the 'Bank transactions to be processed' workflow (read administration).
  • Open new card for bank account: if an unknown account is present in the electronic statement, a new bank account can be created directly in the administration.

 

You can find the electronic statement that hasn't been imported back in your administration by clicking on Electronic statements in the Bank functionality on the left side of your screen. No bank or subject is mentioned in the line, and the number of transactions is '0'.



By clicking on > for the statement, you can check why importing this statement failed.
