From an opened bank account, all transactions and statements from a bank account, credit card or online payment provider can be viewed and the details, if necessary, changed or deleted.
Only a user with the 'Management', 'Financial administration' or 'External accountant' role can view bank accounts.
A user with the 'Management', 'Financial administration' or 'External accountant' role can::
- change the account details
- view a transaction:
- upload a document
- explain transaction
- match a transaction (not available to user with 'Management' role)
- view the statement
- view the booking details
- delete a bank account.
Hover your mouse over the Bank icon in the navigation bar and then click on Bank accounts.
In the now-opened screen, open the account with its transactions and statements by:
- clicking on the name of the bank account
OR - moving your mouse above the line of the corresponding bank account, clicking on the button with the three dots and then selecting View from the dropdown menu.
The following screen is opened:
The left part of the screen shows all transactions or statements of the account. In the right part, in addition to the general details of the account, you will also see:
- if applicable, a notification of any bank inconsistency that may be present
ATTENTION!
A banner will be shown at the top of the screen if a bank inconsistency is present. To have this bank inconsistency resolved by your accountant as soon as possible, click on Ask a question and then send a message to your accountant. - whether or not the account is linked to Ponto
TIP!
You can always check the most recent account balance by clicking on the Refresh link. - whether or not a Collection ID has been entered.
TIP!
Click on the link behind GL account or Office to view in more detail the details of the GL account or the office where the account is administered, respectively.
Views
You can also specify in this screen that the Statements view should be shown:
Change account details
To change the details of an opened account, click on the Edit button at the top right of the screen.
The following screen is opened:
Change the relevant details and then click on the Save button.

View transaction
To view a specific transaction, hover your mouse over the line of that transaction, click on the button with the three dots, and then select View transaction from the dropdown menu.
The following screen is opened:
This screen shows, among other things, the bank statement in which the transaction is present, the outstanding amount and the documents matched to the transaction.
In addition, if necessary, a document can be uploaded, an explanation can be given about a transaction and/or the transaction can be matched with a document.
Upload document
Once you have the receipt or invoice, you can submit it to your administration.
To upload the missing document for this transaction, click on the Upload menu option of the Actions button.
The following screen is opened:
Select the file to be uploaded and then click on the Upload button.
The document will be added to the transaction.
ATTENTION!
As long as the accountant has not processed the document, the document will have the status “Waiting to be processed.
Explain transaction
To provide an explanation about the transaction so the accountant knows how to record the transaction, click on the Explanation menu option of the Actions button.
If the transaction is a payment, the following screen is opened:
First, specify whether the payment is a business expense or a private expense. For a private expense, specify which user with an RC relationship with the business the expense was from.
Then, type the explanation about the transaction and then click on the Explain button.
The following message appears on the screen:
The explanation will be added to the transaction.
Match transaction (not available for user with the 'Management' role)
To match the transaction with an outstanding item, click on the Match menu option of the Actions button.
The following screen is opened:
Match the transaction with the outstanding item by checking it and then click on the Save button.
The transaction is now matched with the outstanding item.
There is no longer an amount outstanding for this purchase invoice after 'Outstanding'.
View booking details
To view the details of the booking, hover your mouse over the line for that transaction, click on the button with the three dots, and then select View booking details from the dropdown menu.
The following screen is opened:
Click on the Close button to close the booking details screen.
View statement
To view the statement containing the transaction, hover your mouse over the line of that transaction, click on the button with the three dots, and then select View statement from the dropdown menu.
The following screen is opened:
Delete bank account
An account can only be deleted if there are no transactions or documents associated with the account.
To delete an account, click on the Delete button.
The following message appears on the screen:
Click on the Delete button to actually delete the account.
ATTENTION!
If the account is linked to Ponto, the connection to Ponto must first be disconnected before the account can actually be deleted.
The following message appears on the screen:
Click on the Go to Ponto button to disconnect.
