Create account (bank account, credit card and/or online payment provider) (Beta)

Disclaimer

All screenshots in the article were taken in the Dutch version of Yuki.


By own bank accounts in Yuki we mean all payment accounts, savings accounts, securities accounts, investment fund accounts, deposit accounts, credit cards, online payment providers and/or foreign currency accounts with bank(s) and/or financial institution(s) that you only use for business in your company.


So this is not about the bank accounts of customers or suppliers. The bank accounts of customers and suppliers are created at the respective contact card.


Bank accounts are automatically created in Yuki while uploading the electronic bank files (with statement lines) to the administration(s) in the domain.

The electronic files with credit card statement lines from Rabobank, ABN AMRO and ING can also be uploaded and imported so that these credit cards are also created automatically.


TIP!

To avoid problems with the type of account and the correct administration in a domain, it is still advisable to create the accounts that are known yourself.


Some accounts such as e.g. most credit cards and the online payment providers will always have to be added manually.

If the electronic statements are delivered via the automatic accounting link with ABN AMRO, ING, Rabobank or Knab, you also have to create the account manually first, otherwise Yuki does not know to which administration the bank account and its transactions belong.


Only a user with the 'Back office' role in the domain or the 'Management' or 'External accountant' role can create a bank account, credit card or online payment provider manually.


Unaggregated or aggregated SEPA file

A bank can specify the payment or collection of invoices and include one line per payment/collection in the bank statement, in which case it is an unaggregated SEPA file. However, most banks can also provide this in a densified format and then there is only one line in the statement.


Whether this option should be enabled or disabled depends on the way the bank processes the SEPA file.


Only a user with a 'Back office' role in the domain can specify whether an unaggregated or aggregated SEPA payment file and/or direct debit file is used.


ATTENTION!

  • The 'Aggregated SEPA payment file' option is only available when a user with the role 'Management' has chosen the bundle Small, Medium, Large or Unlimited through the Yuki Store in the domain. 
  • The 'Aggregated SEPA direct debit file' option is only available when a user with the role 'Management' has chosen the bundle Large or unlimited via the Yuki Store in the domain.


From this screen, a user can:

  • add a bank account
  • add a credit card
  • add an online payment provider.


Hover your mouse over the Bank icon in the navigation bar and click on Bank accounts. Then in the now-opened screen, select the Bank account, Credit card or Online payment provider from the drop-down menu of the Add button...



When the accountant has added the Yuki Foreign Currency feature to the contract of the domain, one or more so-called foreign currency accounts can be created.



Add bank account manually

After selecting the Bank account menu option, the following screen is opened:



Please fill in the above fields as completely as possible.


Administration: Visible only if more than one administration is present in the domain. Please select the appropriate administration.


Account details


Description

Enter here a compact description by which the account can be recognized (in addition to the number). For example, “Pay ING *123. If more than one administration is present in the domain, it is advisable to also include the name of the administration in the description, such as 'Pay ING Yuki training *123'.


Country banking institution

Select the country in which the banking institution is located here.


Bank

Select the bank where the account is administered, or select 'Other [country] banks' from the list if the relevant bank is not listed. 


Bank identification

Select 'IBAN' or 'Account Number' here, then enter the appropriate information. The 'Account Number' field can be used for all accounts that do not contain an IBAN.


BIC

The BIC code is automatically filled in by Yuki after entering the IBAN in the 'Bank identification' field.


Type

Specify whether the account type is a checking. savings or deposit account. The type cannot be changed once transactions have been posted to the account. Yuki automatically generates the required and corresponding general ledger account number in the administration. The type determines which general ledger account is linked to the bank account and can therefore be relevant for reporting. 


ATTENTION!

The fields 'Collector ID' and 'Collection file limit' are only available when an account of type 'Payment Account' is added.


Account owner (Account holder)

Enter how the bank account is named at the bank.


Currency

Select the appropriate currency. If the currency is not listed, first activate the currency through the domain settings.

ATTENTION!

This field is only visible if the feature 'Foreign currency' is activated in the domain. When the accountant has added this feature to the domain contract, one or more so-called foreign currency credit cards can be created.


Opening balance (in V.V.)

If the bank account was already active in previous financial years that were not conducted in Yuki, enter the balance here according to the year-end balance for the first financial year. If it is a foreign currency bank account, enter the opening balance in foreign currency. Yuki automatically creates a mutation for the opening balance in the account '11099 - Suspense account opening balance banks'. This memorandum entry cannot be changed by the user. If the opening balance at the bank account is modified then the journal entry is modified behind the scenes. No new entry is created anymore.


Active 

Removing this checkbox ensures that the account is no longer shown in the bank account overview. You use this if the account is no longer active in an administration. This gives the account the same status as accounts with a balance of 0.00 euro.

You can find the inactive account in the overview of all accounts by selecting the checkbox for Show inactive bank accounts.



Aggregated SEPA file (only available to user with the 'Back office' role in the domain):

  • Payment
    The bank can specify the payment of invoices and include one line per payment in the bank statement, but most can also provide this in a densified format and then there is only one line in the statement and it is posted to Internal Transfers/Payments on the go. So densification is cost effective. If the option 'Compacted payment file' is activated in a bank account, a memorial entry is automatically created from the final SEPA payment file, so that the invoices get the status 'paid'. Whether you turn this option on or off depends on the way the bank processes the payment file.
  • Direct debit
    If the 'Compacted collection file' option is activated in the bank account, a memorial entry is automatically created from the final SEPA collection file. The invoices will then no longer be shown in the 'En route' overview. Whether you turn this option on or off depends on the way the bank processes the direct debit file.


Collection ID (only available with 'Payment account' type)

The collection ID from the SEPA Direct Debit contract with the bank must be added to the bank account from which you will collect in Yuki. It is not possible to create a SEPA Direct Debit file if the Incasso ID has not been added to the relevant bank account.


Direct debit file limit (only available with 'Payment account' type)

The SEPA direct debit contract with the bank specifies, if required, the maximum amount that may be collected per transaction.


Click on the Save button to add the bank account to the selected administration.


Add credit card manually

The following types of credit cards can be added:

  • American Express
  • Eurocard/MasterCard
  • Visa.


After selecting the Credit card menu option, the following screen is opened:



Please fill in the above fields as completely as possible.


Administration: Visible only if more than one administration is present in the domain. Please select the appropriate administration.


Account details


Description

Enter here a compact description by which the credit card can be recognized (in addition to the number). For example, “CC Visa ING *1234. If there is more than one administration in the domain, it is advisable to also include the name of the administration in the description, such as 'CC Visa ING Yuki training *1234'.


Credit card provider

Select the provider in the Netherlands where the credit card is administered: American Express, EuroCard/MasterCard or Visa.


Card number

Enter the card number of the credit card here. 


ATTENTION!

For correct import of Rabobank credit card transactions, it is important that the credit card in the administration in Yuki has the last four digits of the credit card number entered.


Name (Account holder)

Enter how the credit card is named at the provider/bank.


Currency

Select the appropriate currency. If the currency is not listed, first activate the currency through the domain settings.

This field is visible only if the foreign currency feature is activated in the domain. When the accountant has added this feature to the domain's contract, one or more so-called foreign currency credit cards can be created.

Removing this checkbox ensures that the account is no longer shown in the bank account overview. You use this if the account is no longer active in an administration. This gives the account the same status as accounts with a balance of 0.00 euro.

You can find the inactive account in the overview of all accounts by selecting the checkbox for Show inactive bank accounts.



Click on the Save button to add the credit card to the selected administration.


Add online payment provider manually

The following online payment providers can be selected:

  • Mollie payment services
    • MT940
  • MultiSafepay
    • MT940
  • Pay.nl
    • MT940
  • PayPal
    • CSV (Comma separated - payments affecting the balance).


ATTENTION!

Mollie's online payment provider account is automatically created when importing the MT940 file.


After selecting the Online payment provider menu option, the following screen is opened:



Please fill in the above fields as completely as possible.


Administration: Visible only if more than one administration is running in the domain. Please select the appropriate administration.


Account details


Description

Enter here a compact description by which the credit card can be recognized (in addition to the number). For example, “CC Visa ING *1234. If more than one administration is held in the domain, it is advisable to also include the name of the administration in the description, such as 'CC Visa ING Yuki training *1234'.


Online payment provider

Select the provider in the Netherlands where the online payment provider account is administered.


Payment provider account

A payment provider account often does not have an account number. 


In Yuki, we use the email address you use to log in for your PayPal payment provider account.


Account Name (Account holder)

Enter how the online account is named with the provider.


Currency

Select the appropriate currency. If the currency is not listed, first activate the currency through the domain settings.

Removing this checkbox ensures that the online payment provider is no longer shown in the bank account overview. You use this if the online payment provider is no longer active in an administration. This gives the online payment provider the same status as accounts whose balance is 0.00 euros.

You can find the inactive account in the overview of all accounts by selecting the check box for Show inactive bank accounts.




Click on the Save button to add the online payment provider to the selected administration.
