The weight set of an distribution key determines how the revenue and costs of the analytic transactions "will automatically be assigned among the various values based on an allocation rule.
Due to changes in the business, it may be necessary to distribute the analytic transactions among different values or with a different proportion as of a certain date.
As soon as you create a new weight set of an allocation rule, an end date of this weight set is automatically entered by Yuki with the existing ‘old’ weight set.
Only a user with the 'Portal administrator', 'Portal back office', 'Management', 'Financial administration' or 'External accountant' role can create one or more weight sets of distribution keys.
Weight set of distribution keys in example analytical view 'Revenue and costs by department':
- Distribution key Housing costs (proportional distribution):
Weight:- Value: Sales Department, Share 25
- Value: Purchasing Department, Share 25
- Value: Administration Department, Share 25
- Value: Support Department, Share 25.
- Distribution key Personnel costs (based on number of employees):
Weight:- Value: Sales Department, Share 6
- Value: Purchasing Department, Share 3
- Value: Administration Department, Share 4
- Value: Support Department, Share 2.
- Distribution key Telephone and Internet costs (larger share of Sales and Support Department):
Weight- Value: Sales Department, Share 35
- Value: Purchasing Department, Share 15
- Value: Administration Department, Share 15
- Value: Department Support, Share 35.
Click on the Financials icon in the navigation bar and then click on Analytical accounting.
In the now-opened screen, select the tab of the analytic view for which you want to create a weight set and click on the Go to dashboard button.
In the now-opened screen, click on the Distribution keys tile.
Click on the description of the distribution key for which you want to create a new weight set and then in the now-opened screen click on the Create weight set button.
The following screen is opened:
Start date (required)
Specify here the date from which the new weight set of this allocation key should be applied to the analytic transactions.
Value
Value
Select the value to which the analytic transactions should be assigned.
Share
Enter here what share (in up to 9 digits) of the analytic transactions should be assigned to the value.
It is not possible to enter decimals.
TIP!
The share can be specified in percentages, in absolute numbers (for example, the number of employees), etc.
After entering the data of the weight set , click on the Add button.
Then create several more weight set if necessary.
TIP!
You can also create a new weight set by copying an existing weight, changing the data of the copy and then saving it as a new weight set.
