Subject and text content of letter (reminder layout)

When setting up your reminder layout, several options are available that allow you to personalize the appearance of your reminders.

The layout determines what the reminder looks like, what data will be printed on it, where the address block will appear and what will appear in the accompanying mail.



The following reminder layout settings can be entered:

  • General
    Includes the description and language of the reminder.
  • Settings
    Settings for copy of invoice, reminder levels and use layout for direct debit. 
  • Subject and text content of letter
    Set the subject and text of the letter.
  • Page layout (footer)
    Settings for such things as letter footer.
  • Page settings
    Determine the position of the data on the reminder and the font and/or font size. 
  • Paper settings
    Choose the paper size and printing options.
  • Address positioning
    Settings for the positioning of the address on the reminder.
  • Logo positioning
    Determine the position of the logo (only relevant for printing on blank paper).
  • Subject and text of email
    Set the subject and text of the email used to send reminders.

Access to settings

All settings for your reminder layouts are centralized within your domain and divided into logical categories.


To access these settings:

  • click on the Settings icon in the navigation bar
  • click on Reminder settings in the now-opened screen
  • then click on the Layouts tab.

Create and change reminder layout

To change an existing reminder layout, click on the line of the corresponding reminder layout.

To create a new reminder layout click on the + New Layout button.


Set subject and text of letter

You can personalize the letter by customizing the subject and text of the letter.




Subject

The subject is printed directly above the letter text. You can also leave the subject blank. You can also work with placeholders in the subject line.


Text content

Per layout you can adjust the text of the letter to the situation. For example, you can start with a very friendly text for your first reminder and make the text more urgent and formal the longer the invoice is outstanding. When formatting the text, pay attention to whether or not you include a copy of the invoice as standard. If you do not, you must include the details of the invoice in the text of the letter (and possibly also in the text of the e-mail). You do this by using so-called placeholders. These are references to, among other things, details of the invoice.
