Employee files

Personnel files store all documents provided from and about employees. All pay slips, expense claims, HR documents and assessments are organized by tab.


Only a user with the ‘Management’ or ‘HRM’ role can view the personnel files of all employees.


All other users (if employee) can only view their own personnel file from their own contact card (via ‘HR documents’).


All users with a ‘Backoffice’ role in the domain can NOT view the HR documents (non-financial documents) of all employees!


Hover your mouse over the HR icon in the navigation bar and then click on Employee files.


The following screen is opened:



In this screen, you can use the following buttons:

  1. Create a new document.
  2. Upload multiple documents at the same time.
  3. Scan.
  4. Show the folders in which the documents are stored.
  5. List view (details) of documents.
  6. Document types
  7. Tag cloud
  8. Do or do not show screen preview of the document.
  9.  Change properties of folders and tabs.
  10. Search documents by Creator, Contact, Subject, Tag or Amount. 
  11. In the Search field, then type the name, text, tag or amount you want to search for.
  12. Date filter that allows you to retrieve only employee files from a particular year. In the list view you can retrieve the documents by year, half year, quarter or month. 
  13. Archive settings, setting the default security level for non-financial documents.
  14. View the folders of a particular administration or of all administrations in the domain.
