Contact management principles

Yuki works with a central address book.This address book serves the optimal recognition and processing of documents. It is advisable to work with an optimal number of addresses in order to reduce the chance of linking to the wrong address. This means as little as possible in order to prevent mistakes and as much as possible in order to match efficiently. If necessary, central addresses are created locally in the domain of the customer.

In general this doesn't pose any problems but in some specific cases choices have to be made. This concerns in particular chains that operate under the same name and are represented by more than one branch. 

Examples of retail chains are GAMMA and other hardware stores, Franchise chains, OfficeCenter (the same Chmaber of Commerce number, many addresses), SHELL and other petrol stations, Albert Heijn and other retail chains, the banks et cetera.

A second category of addresses are suppliers that provide several services under one name. Examples include: KPN (telephony, internet, TV, business services), banks, insurance companies and government agencies.

Yuki clients are also kept up-to-date as addresses are centrally maintained in yukicentral with a link to the domains where this address also appears.

Criteria for creating and finding addresses

An address is matched to an invoice based on several criteria but the following criteria are the most important:

• Chamber of Commerce number (and to a lesser extent the VAT number)
• Bank account number
• Payment method.

Application of criteria

• Each Chamber of Commerce will get his own address.
• If the payment method is debit or credit card then if there is more than one address uesd by the supplier, an address for all of the Netherlands will be used. For example SHELL and other petrol stations.
• More than one bank account number can be saved when creating an address. This is mainly used when the supplier has several bank account numbers on which payments for the same services are received.
• In case it involves a separation of activities it is advisable to use separate acdresses, for example KPN with Telephony ánd Digitenne.
