Deleted documents (trash bin) (Beta)

Disclaimer

All screenshots in the article were taken in the Dutch version of Yuki.


When you delete a document in Yuki, it ends up in the so-called trash bin. All documents can be retrieved from the trash bin by moving them to the desired (sub)folder. 

However, this does not apply to deleted SEPA files and entries created automatically by Yuki.


ATTENTION!

Depending on the user role, a user sees In the trash bin only the deleted documents to which he or she has access.


Any user can retrieve a document uploaded and then deleted by him- or herself.


Only a user with the 'Back office' role in the domain or the 'Management' role can retrieve any deleted document from the trash bin.


ATTENTION!

A Yuki support employee can permanently delete a document from the trash bin so that it is no longer available to all users in the domain.


From this screen, a user can:

  • view a document
  • view a contact
  • move (retrieve) a document 
  • download a document.


Hover your mouse over the Archive icon in the navigation bar, then click on Deleted documents (Trash bin


The following screen is opened:



Here you can see which documents have been deleted when and by which user.


The overview can be filtered by document type.


When processing a document, the back office can indicate a reason why the document cannot be processed. This reason can be found in the Reason column at the end of the document line.


TIP!

The Permanently deleted column lists all deleted documents that cannot be retrieved.

Documents that cannot be retrieved are deleted SEPA files, entries created automatically by Yuki, and documents that have been permanently deleted by Support.


View document

To view a document:

  • click on the subject of the document
    OR
  • hover your mouse over the line of the document in question, click on the button with the three dots, and then select the View document menu option from the drop-down menu.


In the now-opened screen, the document can be changed, if necessary, or actions can be performed to the document.


View contact

Hover your mouse over the line of the document in question, click on the button with the three dots, and then select View contact from the drop-down menu.



The contact card of the corresponding contact is now opened.


Move (retrieve) document 

Hover your mouse over the line of the document in question, click on the button with the three dots, and then select the Move menu option from the drop-down menu.



The following screen is opened:



Select the (sub)folder to which you want to move the document and then click on the Move button. The document will now be removed from the deleted documents and placed in the selected (sub)folder.


Entrepreneur:

The deleted document is placed back in the workflow 'Documents to be processed' so that the accountant can process the document in the administration.


Accountant:

The back office status of the document changes from 'Completed' to 'Open' status allowing you to process the document in the way you are used to.


Download document

Hover your mouse over the line of the document in question, click on the button with the three dots, and then select the Download menu option from the drop-down menu.



The document will now be downloaded to the hard disk of your laptop or computer.
