Actions from sent quotation

From a sent quotation (status ‘Open’, ‘Previous version’, ‘Ready to invoice’ 'Invoiced' and ‘Rejected’) a number of actions can be performed:

  • ask a question about the quotation
  • copy a quotation
  • delete a quotation
  • resend quotation.


The available actions depend on the status of the quotation



Access to sent quotation

To access:

  • click on the Sales icon in the navigation bar
  • click on Quotations
  • in the now-opened screen, select the Sent work list
  • then open the sent quotarion by clicking on the subject of the relevant quotation.

AVAILABLE USER ACTIONS

From this screen, a user can:

  • ask a question about the quotation
  • copy the quotation
  • delete the quotation
  • resend the quotation.



Ask question

To ask the accountant a question directly about the opened quotation:

  • click on the More actions button in the upper right corner of the screen
  • in the now-opened dropdown menu, click on the Ask question menu option

    The following screen is opened:


    The sent quotation is added to the question.

  • formulate your question
  • then click on the Submit button

    The following message appears on the screen:



Copy quotation

The details of an open, revised, accepted, invoiced or rejected quotation can also be used for one or more quotations to be sent to other potential customers.


All data of the quotation except the attached files are taken over in the now-opened screen of a new draft quotation.


If required, the details of the quotation can still be changed and/or supplemented. The quotation can then be saved as a draft quotation or prepared for sending to the customer.

To copy a quotation:

  • click on the More actions button in the upper right corner of the screen
  • in the now-opened dropdown menu, click on the Copy quotation menu option


The copy of the quotation opens immediately in a new screen as a draft quotation.


Delete quotation

To delete an opened quotation:

  • click on the More actions button in the upper right corner of the screen
  • in the now-opened dropdown menu, click on the Delete menu option

    The following message appears on the screen:


  • click on the Delete button to actually delete the sent quotation.


Resend quotation (only available in quotation with status 'Open')

If required, a sent quotation can also be resent to another email address of the recipient.


To resend a opened quotation:

  • click on the More actions button in the upper right corner of the screen
  • in the now-opened dropdown menu, click on the Resend quotation menu option

    The following message appears on the screen:


  • if required, change the recipient's email address
  • then click on the Resend button.


The quotation will be resent to the specified email address.
