The following processes in Yuki are automated in order to file the VAT return as smooth as possible. These actions will only be carried out when the administration is liable for VAT. This flow of messages can be configured per administration in the general settings of the domain.
This setting can only be changed by the owner of the domain or an user with the 'Management' role in the domain.
Open the settings of your domain by clicking on the Settings icon in the navigation bar and then, in the now-opened screen, click on Messages.
The following screen is opened:
When the VAT return is filed by the administrative office or the accountant via a partner portal then no email messages will be send indicating that the VAT return must be sent to the tax authorities. In the portal records are kept of which VAT returns of which domains has to be sent to the tax authorities.
Sending schedule of automatic messages
ALWAYS
- Daily
Creation of an empty draft VAT return in the administration if it doesn't exist yet. This happens to make sure that empty VAT returns (the socalled nil VAT returns) are also filed. - 1st of the month
Completeness report that includes data of possible missing invoices and/or payments. This report will be sent to the user that is indicated in the Yuki message Who will receive messages about the points of attention, such as documents that can't be processed or are missing? - 25th of the final month of the accounting period
VAT announcement: notification that the accounting period is almost over and a reminder to submit documents to Yuki.

ENTREPRENEUR OR ACCOUNTANT (WITHOUT PORTAL) FILES THE VAT RETURN
- 10th of the month after the accounting period
Notification of draft VAT return: notification that a draft VAT return is ready to be sent.
This message will be sent by email to the user that is indicated in the Yuki message Who wil receive messages about the VAT return? - 20th of the month after the accounting period
Reminder to send VAT return: reminder that a draft VAT return is ready to be sent (if not already sent manually).
This message will be sent by email to the user that is indicated in the Yuki message Who wil receive messages about the VAT return? - 26th of the month after the accounting period
Second reminder to send VAT return: second reminder that a draft VAT return is ready to be sent (if not already sent manually).

ADMINISTRATIVE OFFICE OR ACCOUNTANT (WITH PARTNER PORTAL) FILES THE VAT RETURN
- As soon as the VAT return is approved or checked
Notification VAT return is ready: notification that the VAT return is approved or checked by the back office.
This message will be sent by email to the user that is indicated in the Yuki message Who receives messages about the VAT return? - from the 26th in the month after the accounting period
Sending of VAT returns: all VAT returns that have been approved by the back office are sent automatically to the tax authorities on a daily basis from the 26th and twice a day from the 28th.
NOTICE!
When the VAT return approval is enabled in the portal or the domain the VAT returns won't be sent automatically to the tax authorities without prior approval of the entrepreneur (customer).
ALWAYS WHEN THE VAT RETURN IS SENT WITH YUKI
- As soon as the VAT return is received by the tax authorities
Receipt confirmation: when the VAT return is sent digitally to the tax authorities a confirmation by the tax authorities that the VAT return has been received and possibly a reminder that the tax has to be paid.
