Companies can be a supplier, customer or nothing in Yuki and can be included, if required, in your personal address book.
In Yuki you can view an overview of all contacts of the 'Company' contact type.
Hover your mouse over the Contacts icon in the navigation bar, click on Contacts and then click on the Contact button in the now-opened screen.
The following screen is opened:
Select the Company contact type and enter, if known, the Chamber of Commerce number of the company.
The company data can now be saved and later changed or viewed on the Company and Extra tabs.
ATTENTION!
A change of contact details such as e.g. email address, bank account number, direct debit mandate or payment method of purchase or sales invoices is not automatically reflected in the contract (recurring invoices) of that contact. The change must be made manually in the respective contract.
Company tab
On this tab you will find the company's first contact details, which is the name, phone, address, email and website.
The Website field is used for the automatic recognition of invoices in Yuki. Therefore it is important to fill in this field. In addition you can also add a logo of your company in the Logo field by selecting a file. All other important data of the company can be added in the Notes field.
The Customer specific remarks field is only visible to a user with the 'Back office' role in the domain and can be used to record special agreements with the contact.
Extra tab
On this tab you will find all additional information about the company that is not directly related to the first contact details. You can also view the log data on this tab. In addition to the creation date and modification date, you can also see, for example, how often this contact card has been viewed and by clicking on the number you can see which users this has been.
Numbers
Numbers play an important role in the recognition and automatic processing of invoices in Yuki!
- Contact code. This code can be printed on sales invoices and is important for the recognition when the sales invoices are scanned. The code is also relevant when importing general journal entries or creating them via the Yuki Upload Webservice.
- Code at supplier. This is the code that your supplier has assigned to your company and is possibly stated on the purchase invoice. This field is only available from a supplier and not from other contact types When this field is filled in it will also be included in the UBL export.
Sometimes you can have more than one account with a supplier. Think of an account per department or operating company. Then you have more than one code with the supplier. Is is possible to add several supplier codes.
Here you can also fill in to which administration the code belongs and if this is the default code. Based on this code the Yuki Robot can process the UBL invoices even more intelligent. - VAT number. The VAT number of the company, format NL00000000B01.
- CoC number. Refers to the data of the Chamber of Commerce in the Netherlands. In the Edit mode you can click on the search box. Subsequently there will be searched for the company name in the register. When the CoC number is filled in an hyperlink is added that directly opens the Chamber of Commerce website.
Address book
- Tags. A label that can be stuck on the contact by which the contact is easily retrievable in Yuki. For example you can use this tag to create a mailing list.
- Projects. A file contains various items like tasks, appointments, contacts, documents and email that belong to a subject or a project.
From the 'Projects' functionality you can view all linked contacts of the relevant file/project. - Parent company. Companies can be linked to each other via the parent-subsidiary relationship.
- Customer. The contact is a customer.
- Supplier. The contact is a supplier.
- Include in my address book. The contact is also included as a private contact in the personal address book.
- Important number. The phone number is included as important.
Financial
- Price list. The price list that is selected here determines which sales items are available at what price (including or excluding VAT) to the contact. This price list has priority over the standard price list.
- Invoice layout. The layout defines the format of the sales invoice, which data is stated on the invoice and what text will be included in the accompanying mail.
- Delivery method. Per email or regular mail.
- Disable automated reminders. Sending automatic reminders from Yuki is blocked.
Communication
- Heading. With a contact in Yuki you can enter a heading in this field that can be used in invoices that are sent from Yuki. By default 'Dear sir/madam' is used.
Back office
- Back office status. An inactive contact cannot be used, read selected, when processing a document. However, the contact can always be found by means of the search function.
- Origin (only available to an user with the 'Back office' role).
