Create person (contact details)

Disclaimer

All screenshots in the article were taken in the Dutch version of Yuki.


Persons are contact persons in companies, private persons, users in Yuki or employees and can be included, if required, in your personal address book.


In Yuki you can view an overview of all contacts of the 'Person' contact type.


Hover your mouse over the Contacts icon on the navigation bar, click Contacts and then click the Contact button in the screen now-opened.


The following screen is opened:



Select the Person contact type.


The data of the person can now be saved and later changed or viewed on the Person, Extra and Financial tabs.


ATTENTION!

  • A change in personal data such as the email address, bank account number, direct debit mandate or payment method of sales invoices is not automatically made in the contract (recurring invoices) of that contact. The change must be adjusted manually in the relevant contract.
  • An existing user (person) becomes an employee as soon as you select one of the administrations (companies) in the domain on the 'Person' tab in the 'Company' field. In the selection screen, the name of an administration contains an icon of a folder.


When the contact is an employee in Yuki the Financial tab is replaced by the Employee tab.


Person tab

On this tab you will find the person's first contact details, namely the name, telephone, address, email (both business and private) and website.



Here you can also add a photo and/or a business card of the person by choosing a file in the Photo and/or Business card field. All other important data of the person can be added in the Comments >field.


The Customer specific remarks field is only available to users with the 'Back office' role and can be used to register special appointments with the contact.


Extra tab

>On this tab you will find all further information about the person that is not directly related to the first contact details. In addition you can also view the log data here. Next to the creation date and the date of change you see how often this contact card is viewed and by clicking on the number which users have viewed it.



Postal address

When creating a sales invoice this addres, when filled in, will be used.


Other address

It is possible to create an extra address for the contact.


Address book

  • Tags. A label that can be stuck on the contact by which the contact is easily retrievable in Yuki. For example you can use this tag to create a mailing list.
  • Project. A file contains various items like tasks, appointments, contacts, documents and email that belong to a subject or a project.
  • Include in  my address book. The contact is also included as a private contact in the personal address book.
  • Important number. The phone number is included as important.
  • Parent company. N.A.

Back Office

  • Back office status. An inactive contact cannot be used, read selected, when processing a document. However, the contact can always be found by means of the search function.
  • Origin. (only available to an user with the 'Back office' role).


Personal info
Here you find the personal data of the contact like the nickname, gender and date of birth.

  • Heading. With a contact in Yuki you can enter a heading in this field that can be used in invoices that are sent from Yuki. By default 'Dear sir/madam [name]' is used.
  • Printer label. In the 'Printer label' field you have to enter the name as it should be printed on the label.

Financial tab

On this tab you find the financial data of the person.



Numbers

>Numbers play an important role in the recognition and automatic processing of invoices in Yuki! 

  • Contact code. This code can be printed on sales invoices and is important for the recognition when the sales invoices are scanned. The code is also relevant when importing general journal entries or creating them via the Yuki Upload web service.
  • VAT number. N.A.
  • C. of C. number. N.A.
  • Social security number. This number is needed, among others, for the income tax return.


Financial

  • Customer. The contact is a customer.
  • Supplier. The contact is a supplier
