Contacts in Yuki: company or (contact) person

In Yuki you can create two different types of contacts: companies and (contact) persons,. In addition a company can be of contact type customer, supplier, an administration or nothing. Persons can be of contact type customer, contact person of a company, private person, user in Yuki or employee.


Contact persons and companies can be linked to each other. Companies can also be linked to each other by the parent-daughter relationship (see 'Extra' tab). If a contact person is linked to a company then you can also view the documents of the linked contact persons from the contact card.


You can change a contact from 'Company' to 'Person' and vice versa. 


Hover your mouse over the Contacts icon on the navigation bar and then click on Contacts

Search for and open the relevant contact card and click on the Edit this record button. Change the contact via the dropdown menu from 'Company' to 'Person' or vice versa.


ATTENTION!

A change in the personal or company details such as the email address, bank account number, direct debit mandate or payment method of sales invoices is not automatically implemented in the contract (recurring invoices) of that contact. The change must be adjusted manually in the relevant contract.


Companies

Companies are created by Yuki from the central database or from the scanned document. The user can also create, import or create his own companies via the Yuki Webservice.



The check mark after the name of the company indicates that the contact has been validated with Chamber of Commerce / VIES.

Persons

Persons are created by Yuki from the central database. The user can also create, import or create his own persons via the Yuki Webservice.

Depending on your role as a user, you can view a number of data related to the contact card for both contact types (company or person):

  • Summary
  • Email addresses
  • Supplier codes (only available when contact type is 'Supplier')
  • Bank accounts
  • Direct debit mandates (only available when contact type is 'Customer')
  • Web addresses
  • Default values (only available to back office)
  • Replication links (only available to back office).


There are extra features available when there are purchase and/or sales invoices linked to the contact:


Financials

  • Purchase invoices (only available when contact type is 'Supplier')
  • Sales invoices (only available when contact type is 'Customer')
  • Outstanding invoices
  • Quotations
  • Aging analysis
  • Current account
  • Transactions
  • Price lists (only available when contact type is 'Customer')
  • Price agreements (only available when contact type is 'Customer').
  • Contracts.


In addition you also have access to data that is linked to the contact in Yuki:

If a person is also an employee you will also see all the HR documents and the absence of that employee.
