Create new task type

Hover your mouse over the Calendar icon in the navigation bar, click on Task types and then click on the New task type button in the now-opened screen.


The following screen is opened:



General

  • Description: enter the name of the new task type here.
  • Active: indicate whether this task type is currently active or inactive.
  • Set to completed after creation: the new task gets the status 'Completed' immediately upon creation.
  • Send email notification to creator:
    • approved
    • realized
    • completed.


Input

  • Only notes can be added: notes added by a user can be edited or not (necessary for retrospective checking).
  • Period: here you indicate whether or not the tasks can contain a period (with a start and end date). This makes it possible to create tasks that define, for example, to which accounting period the task relates.


Document(s)

  • Display the linked document: when the task is opened, the linked document is shown.
  • Folder/tab for attachment: documents linked to the task that are not yet present in Yuki are stored in this folder.


Approval, realization and approval of realization

When creating task types, the behavior of the tasks is determined. Namely, each task can go through three steps:

  • Approval
  • Realization
  • Approval of realization.


For each of these three steps, you define for the task type which user has to approve, realize or approve the realization of the task in sequence:

  • Administrator main task
  • Project manager
  • Creator of task
  • Specific person
    One fixed user who always has to approve, realize or approve the realization of the task.
  • Select by hand
    Manually select the user to approve or realize the task.


You can also specify who should complete the next step in the process when creating the task.


You will automatically get a pop-up of the task via the Yuki notifications tool. If you don't use this tool, you can indicate at each step that an inviation by email should be sent.


TIP!

If the user works in Yuki regularly, it may be more convenient not to have an inviation sent by email because he or she may be viewing the task list daily.
