Yuki provides support for importing the electronic export files (bank files) of most Dutch banks. These files need to be downloaded by the user via the bank's Internet Banking website. It is also possible to automatically import bank transactions (mutations) on a daily basis for ABN AMRO, Rabobank, ING and Knab via an accounting link.


You then only have to upload the files that you have downloaded from the bank in the folder 'To be handled by Yuki', 'Bank' or email them as an attachment to the e-mail address of your administration.


If you do not have an original file from the bank, you can also submit bank transactions in a special Yuki bank import format. You can easily create that format yourself using Excel.


Importing an electronic statement can be done in one of the following ways:

  • Electronic statement is recognised by Yuki and then automatically imported and processed by Yuki
  • Electronic statement is not recognised by Yuki and remains in workflow as standard document
  • Electronic statement contains an error and remains in the workflow
  • An electronic statement is a 'duplicate' of a statement that has already been processed and is located in the Bank folder with the electronic statements.

Electronic statement recognised and processed

When Yuki recognises the electronic bank file as an electronic statement, the document does not enter the workflow 'Documents to be processed'. The bank transactions present are automatically added to the workflow 'Bank transactions to be processed' and can then be processed in the administration as you are used to. You can find the imported electronic statement in your administration by clicking on the Bank icon in the navigation bar and then click on Electronic statements.



At the top of your screen, select the correct document type Electronic Statement in the document type selection screen. The bank file will then be automatically imported into your administration if the export format is correct (Successful import).



Below is a brief description of the buttons:

  • Folder: place the electronic statement in another folder.
  • Reimport: for a 'small' electronic statement (bank file), this starts the import immediately, there is no need to wait for the IDR. It is not advisable to use this function for a 'large' electronic statement.
  • Replace: the electronic statement can be replaced by another electronic statement (bank file) and is then automatically imported again.
  • Standard: the electronic statement is converted into a standard document which removes all bank transactions from the workflow 'Bank transactions to be processed' (read administration).
  • Delete: delete the electronic statement including the bank transactions.
  • Transaction details: financial entries linked to this document in Yuki.


In addition, all bank transactions present in the electronic statement are added to the workflow 'Bank transactions to be processed'. These can then be processed in the administration as you are used to.


Electronic statement contains error

Wanneer Yuki het elektronisch bankbestand wel herkent als een elektronisch afschrift maar echter een fout bevat staat het in de workflow 'Te verwerken documenten' als een 'elektronisch' afschrift. The following screen is then shown when opening the document (statement):



Below is a brief description of the buttons:

  • Reimport: the electronic statement is reimported.
  • Delete this statement: the electronic statement is removed from the administration.
  • Convert to standard document: the electronic statement is converted into a standard document which removes all bank transactions from the workflow 'Bank transactions to be processed' (read administration).
  • Create new bank account: if an unknown account is present in the electronic statement, a new bank account can be created directly in the administration.

You can find the electronic statement that has not been imported in your administration by clicking on the Bank icon in the navigation bar and then click on Electronic statements. No bank or subject is listed in the line and the number of transactions is '0'.



By clicking on > in front of the statement, you can check why the import of this statement failed.


Electronic statement is a 'duplicate' 

When a 'duplicate' electronic statement is imported (from the same bank account over the same period), it does not appear in the workflow 'Documents to process'. However, you will find the 'duplicate' electronic statement in your administration by clicking on the Bank icon in the navigation bar and then clicking on Electronic statements. No bank or subject is listed in the line and the number of imported transactions is '0'.



By clicking on > in front of the statement, you can check why importing this statement results in an error message about the status of this electronic statement.



Clicking on Click here for more information in the screen above will open a screen with details about the 'failed' import. To delete the 'duplicate' electronic statement from the administration, click on the Delete button. A screen will appear where you can enter the reason for removal.

 

A processed electronic statement is placed in the 'Bank/Files' folder by default.
