When it is no longer possible to electronically download the bank transactions via the Internet banking website of the bank, a scanned paper bank or credit card statement can be submitted in Yuki. However, if you no longer have a scanned paper bank or credit card statement at your disposal, you can also create a statement manually and then process it in your administration.

Only a user with the 'Back office' role in the domain can manually process a bank or credit card statement.

The entry is made on the one hand via the account '11... Bank account <number>' and on the other hand via '16000 Creditors' or '13000 Debtors' or costs or revenue (including VAT) on the relevant general ledger account(s).'

In the input screen of a bank statement, you specify the statement by entering the correct bank or credit card account number, the statement number, the date of the statement, the previous balance and the new balance in the top line.

Then click on the Save button at the top left of your screen.

In the input screen, enter the bank line as it appears on the statement.

Make sure you leave the type set to 'Standard'. You are required to enter a description of the bank line. Then click on the Save button to save the bank line. A new empty entry line is automatically created.

At the bottom right, you can see that the outstanding balance of this bank statement has increased 450 euros by recording a bank line with a debit.

t is also possible to post costs (including VAT) directly from the bank statement by selecting the type 'Costs' (Other types are 'Cash', 'Bank costs', 'Interest', 'Revenue' and 'Comment').

You are required to select a general ledger account here.

Only if certain conditions are met in Yuki may an amount (including VAT) be posted directly to costs.

Below is an example of a bank line posted directly from the bank statement into costs.

By clicking on the green square behind the amount, you will see that the bank line is now in the Back office workflow 'Bank transactions to be processed'. You can now process the bank line immediately.

By clicking on the ledger account (in this example, '45100 Telephone and internet costs'), you can see that the amount (including VAT) of the bank line has actually been posted in costs.

When costs are incurred abroad, you can select the correct VAT code after the bank line has ended up in the Back office workflow 'Bank transactions to be processed' (after processing the bank statement).

When all bank lines of the statement have been entered, 0.00 should appear to the right under 'To be recorded'. As long as the balance to be recorded is not at 0.00, it is not possible to process the document (read bank or credit card statement).

All manually entered bank lines are automatically added to the Back office workflow 'Bank transactions to be processed'. This workflow will therefore increase by this number of bank lines (unless Yuki has (automatically) recognised the line and placed it in the administration).

Entry

By default, a processed bank statement is placed in the 'Bank/Statements' or 'Bank/Credit cards' folder. The entry is made on the one hand via the account '11... Bank account <number>' and on the other hand via '16000 Creditors' or '13000 Debtors' or costs or revenue (including VAT) on the relevant general ledger account(s).'
