In Yuki Factuur you can work with different invoice layouts. The layout determines what the invoice looks like, what data is printed on it, where the address block will be placed and what will be included in the accompanying e-mail.
Yuki offers the option to change the existing default invoice layout to your own liking or to create one or more new invoice layouts yourself.
If you work with different invoice layouts, every time you create or process a new sales invoice, you can decide which layout to use.
TIPS!
- A default invoice layout can be entered on the contact card for each customer. If the customer is selected when creating a sales invoice, this default layout is directly chosen for the invoice. However, the sales invoice must be for the same administration as the invoice layout.
- The logo uploaded to the company profile on the General tab will be shown on the sales invoices created in Yuki.
The following invoice layout settings can be entered or changed:
- General (a.o. hour specification and atachment
- Invoice columns
- Page layout (footer)
- Paper settings
- Address margin (address positioning)
- Theme
- Subject and text of mail (Email template).
Each setting is described in detail in a separate article.
ATTENTION!
For an invoice layout created in the old Sales functionality, the following settings can be entered or changed in addition to the above invoice layout settings:
- Page settings
- Logo positioning
- Specification settings.
All configured settings such as the settings of the invoice layouts, among others, are grouped and categorised in one place in your domain.
Open the settings of your domain by clicking on the Settings icon in the navigation bar. Subsequently, in the now-opened screen, click on Sales settings and then scroll to Invoice layouts.
TIP!
When a Dutch, English, French or German invoice layout has been created, the Language column appears in the settings above.
To change an existing invoice layout, click on the line of the corresponding invoice layout.
To create a new invoice layout, click on the + New layout button.
The following screen is opened:
Click at the top right of your screen to decrease or increase the number of invoice layout thumbnails displayed.
The displayed templates of invoice layouts can be filtered by:
- New or already available template of invoice layout
- Colour of template is customisable or not
- Available columns on invoice layout template:
- Line description
- Line quantity
- Line VAT rate
- Line VAT amount
- Line price
- Line price excluding VAT
- Line amount
- Line amount excluding VAT.
Select the invoice layout template by hovering your mouse over the relevant template and clicking on the Choose template button.
The following screen is opened:
View preview
When you are finished with changing the invoice layout, click on the Save button to save your changes.
Then view the screen preview to see if all changes have produced the desired result by clicking on Preview.
TIP!
To test the e-mail, we advise you to create a test invoice and send it to yourself. Then remove the test invoice from your administration to prevent it from being recorded.
Reset default values
When changing the template of an invoice layout, click onthe Cancel button to return to the values predefined by Yuki.
