On the top shelf in the Archive you will find the default folders wherein all documents that still have to be processed and all processed (financial and non-financial) documents are stored that are important for your financial administration in Yuki. On the bottom shelf(s) you will find the folders wherein you can store documents that are private or unimportant for your administration.
On the top shelf it is only possible to move all documents in a folder to another folder.
On the botton shelf(s) you have the possibility to add an extra folder ánd to rename or delete a folder ór to move all documents in a folder at once to a tab of another folder.
TIP!
On the bottom shelf(s) the 'To be organised by me', 'Correspondence' and 'Other' folders cannot be renamed or deleted.
Only a user with the 'Back office' role in the domain or the 'Management' role can add an extra folder or rename, move or delete it from the Archive.
Each folder in the Archive is divided in a number of tabs.
On both shelfs you have the possibility to add an extra tab ánd to rename or delete a tab ór to move all documents of a tab at once to a tab in the same folder or another one.
TIPS!
- The default folders on the top shelf in the Archive contain a number of default tabs that you cannot rename, move or delete.
- On the bottom shelf(s) the 'Official documents' tab in the 'Other' folder cannot be renamed or deleted.
- An opened document can be moved to another tab in the same folder or another one by clicking on the Store document in another folder button.
Only a user with the 'Back office' role in the domain or the 'Management' role can add an extra tab or rename, move or delete it from the Archive.
A user with the 'HRM' role can only add an extra tab in the 'Human Resources' folder.
Add, move or delete folder
Click on the 'nameless' folder in order to add an extra folder on the bottom shelf(s) in the Archive.
The following screen is opened:
Enter the name of the folder in the Description field, add possible Comments on the folder and create one or more tabs in the folder by entering the name of the new tabs under Tabs.
Then click on the Save button.
Open the newly added folder. The following screen is opened:
The name and the colour of the folder can always be adjusted. In addition you can change and/or add possible comments on the folder.
A folder can be renamed by changing the description of the folder and then click on the Save button.
In order to move all documents from a folder to another folder in the Archive at once you have to click on the Move button.
You delete a folder by clicking on the Delete button at the top of your screen.
TIP!
You will find all documents of the deleted folder on the '(all)' tab in the 'Other' folder.
Add, move or delete a tab from folder
In order to add an extra tab in a folder:
- right-click above a folder and then click on Edit.
OR - click in the now-opened folder on the Change properties of folder and tabs icon.
The following screen is opened:
Enter the name of the new tab in the input field and then click on the Save button.
A tab can be renamed by changing the name of the tab and then click on the Save button.
You can move all documents of a tab to another tab or another folder by clicking on the icon before the name of the relevant tab.
You delete a tab by removing the name of the tab and then click on the Save button.
