If the financial year is closed and you also want to keep all the documents of that year somewhere on your computer, USB stick, server or on a DVD, use the Export function in the Archive. With this function you can easily export all documents of a financial year from an administration.
Only a user with the 'Management' role can export the documents from all folders in the Archive.
A user with the 'Back office' role in the domain can only export the documents from the bookkeeping folders (gray folders).
Hover your mouse over the Archive icon in the navigation bar and then click on File cabinet.
In the now-opened screen, click on the Export button.
The following screen is opened:
In this screen, select the correct administration and period start and end dates and then select all folders you want to export from the Archive. After you click on the Export button, the following message appears on the screen:
As long as the status of the export is 'Open', the export can be canceled by clicking on the Cancel export button.
The export file will be created the same night, i.e. within 24 hours. When this file is ready, you will receive an email from Yuki with a link. Using this link, you can log in to your domain and download the file. A (part of the) Archive is not directly downloadable, because these are often very large files.
ATTENTION!
The link in the e-mail is valid for 14 days!
From the selected folders a ZIP file is created containing one folder per folder. This way, you have all documents together in one file that belonged to a particular financial statement.
If you have terminated your contract with Yuki, request the export at least two days before the contract expires. If you do this on the last day, you can no longer log in via the link in the e-mail, and you will have to extend the contract by one month.
