Archive settings

For the documents in the Archive, you can set which users have access to the non-financial documents in the gray folders (top shelf in the Archive).

Non-financial documents have the document type “Standard” in the archive.


By default, all users marked as employees have access to the non-financial documents.


Only a user with the 'Management' role in the domain can set the security level of the Archive.


ATTENTION!

Setting this security is not retroactive.

All standard documents that were already present in the Archive retain the security already in place.


One of the following default security levels for non-financial documents can be set::

  • Everyone
  • All users
  • All employees
  • Management
  • Private.


TIP!

The users you select here are also the only ones who have access to the colored folders (bottom shelf in the Archive).


After setting a security level, the documents are still accessible to a user with the 'Back office' role in the domain but no longer visible to all other users without access


If the security level is set to Private, only the owner has access to these documents.

Even for the back office, these documents are then not visible and thus no longer accessible.


All defined settings such as the archive settings are grouped and categorized in one place in your domain. 


Open the settings of your domain by clicking on the Settings icon in the navigation bar and then on Access in the now- opened screen. 


The following screen is opened:



Here, select which users have access to the non-financial documents in the gray folders (top shelf in the Archive) and then click on the Save button.
