Work with placeholders in email when sending invoices

Placeholders are special codes you can use in invoice layouts to automatically fill in invoice or customer information. They are always enclosed in square brackets and are replaced with the relevant information in the subject and/or text of the email in which the invoice is sent.


Example:

  • [InvoiceNumber] will be replaced with the actual invoice number.
  • [Contact] will become the customer's name.


Placeholders in subject or text of email 

Below you will find an overview of the most commonly used placeholders and their meanings:

  • [Contact]: full name of customer
  • [ContactBankAccount]: the default bank account number of the customer (for example for direct debit)
  • [Heading]: for example: Dear John
  • [InvoiceDate]: invoice date
  • [InvoiceProject]: the project to which the invoice has been linked
  • [IssuerCompany]: the name of your company from which the invoice was sent
  • [IssuerCompanyCity]: the place from which the invoice was sent
  • [IssuerCompanyBankAccount]: the default bank account number of your company
  • [Number]: invoice number
  • [PaymentDaysSetting]: default payment period
  • [DueDate]: due date of the invoice
  • [Subject]: subject of the invoice
  • [TotalAmount]: total amount of the invoice (to be paid)
  • [TotalAmountFC]: total amount of the invoice (to be paid) in foreign currency
  • [Currency]: foreign currency
  • [PublicLink]: link that allows the customer to pay the invoice online if you use Mollie.


TIPS!

  • The [TotalAmountFC] and [Currency] placeholders can be used to specify foreign currency in the email used to send the sales invoice.
  • The value of the placeholder [Heading] is automatically retrieved from the Heading field on the Extra tab of the customer's contact card.

    For a company
    The value in the 'Heading' field is always 'Dear Sir/Madam'.


    For a person

    • Only value in Last name field: Dear Mr. / Mrs. [last name]


    • Also value selected in Gender field: Dear Mr. [last name] or Dear Mrs. [last name]


    • Once value in First name field: Dear [first name]
