When setting up your invoice layout, several options are available that allow you to personalize the appearance of your invoices.
The layout determines what the invoice looks like, what data will be printed on it, where the address block will appear and what will appear in the accompanying mail.
Below is an overview of the available options:
- General settings:
Includes options such as hour specifications and invoice attachments. - Invoice columns:
Determine which columns are visible on your invoices. - Page layout:
Settings for such things as page footer. - Paper settings:
Choose the paper size and printing options. - Address positioning:
Settings for the positioning of the address on the invoice. - Theme:
Customize the template colors of your invoice. - Email template:
Set the subject and text of the email used to send invoices.
Access to settings
All settings for your invoice layouts are centralized within your domain and divided into logical categories.
To access these settings:
- click on the Settings icon in the navigation bar
- Then click on Sales settings in the now-opened screen
- scroll to Invoice layouts.
Create and change invoice layouts
To change an existing invoice layout, click on the line of the corresponding invoice layout.
To create a new invoice layout click on the + New Layout button.
Set up invoice columns
Customizing invoice columns allows you to define which information is displayed in which columns on your invoice. This helps you create a customer-focused and efficient invoice layout.
Step 1: click on the 2 (Invoice columns) button in the centre of your screen. The following screen is opened:
Step 2: specify here which data should be printed on your invoice. Think especially from the customer's point of view. What is important for the customer to see on an invoice line?
ATTENTION!
Which columns you can select depends on the template invoice layout you have chosen.
Description
Do you want to print the description of the sales item, the invoice line or both?
Quantity
Do you want the quantities to be stated?
Price ex. VAT
Price of sales item excluding VAT.
Price
Price of sales item.
VAT rate
If the invoice is for private customers, then listing the VAT on each line is less important. If the VAT rate is the same for each sales item, you don't need to list it on each line.
Amount ex. VAT
Amount of of total quantity of items excluding VAT.
VAT amount
VAT amount of total quantity of items.
Amount
Amount of total quantity of items.
Select the columns you would like to print per invoice line. Make the invoice as simple as possible (less is beautiful).
Step 3: save the changes by clicking on the Save button.
Step 4: to test if the invoice looks the way you want, click on the Preview button.
