Purchase invoices

n this overview, you can see the unpaid purchase invoices, purchase invoices with payment in transit, and purchase invoices requiring approval.


Only a user with the 'Back office' role in the domain or the roles 'Purchase', 'Management', 'Financial administration' or 'External accountant' role can use the Purchase functionality.



Access to purchase invoices

To access:

  • click on the Purchase icon in the navigation bar
  • then, in the now-opened screen, click on Purchase invoices.

To be paid

A yellow round icon is shown next to an invoice that is yet to be paid.

All invoices that have been paid by debit or credit card or are included in a payment file are considered paid.



In process

A red icon with a white hand is shown next to an invoice in progress.

These are invoices that have not yet been paid or collected and require further investigation.


Invoices with the status 'In progress' cannot be paid; they must first be released for payment.



Matching outstanding invoice with payment

Invoices are marked with one of three colored squares to show the payment status:

  • Yellow square: This means the invoice has not yet been paid.
  • Blue square: This indicates that the invoice has been partially paid and there is still an outstanding amount.
  • Green square: This indicates that the invoice has been fully paid.


A user with the 'Back office' role in the domain can directly match an outstanding invoice with a payment by clicking on the yellow or blue square behind the relevant invoice.



Filter and function buttons

In this screen, you can use the following buttons:

  1. Make a selection here on how you want to filter the invoices: Subject, Amount, Supplier, Invoice number, Tag, or Project.
  2. Then enter the actual selection criterion. Clicking on the Search button applies the filter to the list.

    When the accountant has added the Yuki Foreign Currency feature to the domain contract, you can also filter by currency.

  3. Select the period for which you want to view the purchase invoices here.
  4. Switch between showing or hiding a screen preview of the selected purchase invoice.
  5. Switch between the overview of all purchase invoices or all purchase credit notes.
  6. Send this overview to the entrepreneur (only available to the back office)
  7. Select the overview of all purchase invoices for the correct administration.
  8. Change the columns shown in this overview.
  9. Download the shown overview as a CSV file.
