It often occurs that bank transactions uploaded via an accounting link or CSV file have to be split. This may include the revenue in credit card transactions in which transaction costs are included or a repayment of a loan of which the interest has to be recorded separately. To make things easy for you these transactions can be split fully automatic in Yuki via bank processing rules.
Only a user with the 'Back office' role in the domain or the 'Management', Financial administration' or External accountant' role can create a bank processing rule.
Hover your mouse above the Bank icon in the navigation bar and then click on Bank processing rules.
The following screen is opened:
Click on the New button in order to create a new processing rule. In the now-opened screen you can create an normal bank processing rule. At the bottom of this screen you can see the following criteria in order to split transactions:
First, make sure the normal bank processing rule is fully set.
For a detailed description on how to set up a bank processing rule, see article Create bank processing rule.
The subrule(s) that you can create here by clicking on + New subrule in fact serves to post a transaction to a different GL account than the one set in the so-called main processing rule. To have Yuki automatically split a bank transaction, you need to enter the part of the description of the transaction in the Description field, after which the amount to be posted to another GL account is immediately shown. So if an amount to be broken down on bank costs is always shown after the word "Kosten:", enter this part of the description here. Yuki will then record the next amount that can be recognised in the description on your chosen GL account. Using the Income/Expense dropdown menu, indicate whether Yuki should record this as a positive or negative amount
Example
The transaction below is split in three accounts:
- The main bank processing rule makes sure that all transactions of this counterparty will be recorded on '80000 Revenue item group 1' automatically.
- A subrule that records 0,45 on '45800 Bank costs' based on the description 'Kosten'
- A second subrule that records 0.09 on '18800 VAT Input tax' based on the description 'Btw'.
TIPS!
- Yuki can, if necessary, also record the VAT automatically on the subrule. Select the correct category in the Costs/revenue VAT type dropdown menu and then select the correct VAT code.
- The Description field is case sensitive so there is less chance of incorrect entries. So if you want to split an amount that is shown after the word 'Kosten' you also have to enter the capital letter in your rule.
- Yuki can detect amounts that use the comma as well as the decimal point for separating decimals.
