It can often happen that bank transactions coming in through an accounting link or CSV file need to be split. This may include credit card revenue that includes transaction fees, or a loan repayment where interest must be booked separately. For your convenience, you can have these transactions broken down in Yuki fully automatically via bank processing rules.
Only a user with a ‘Back Office’ role in the domain can automatically split bank transactions.
From this screen, a user can:
- create a subrule to automatically split a transaction
- delete a subrule.
Hover your mouse over the Bank icon in the navigation bar and then click on Bank processing rules.
The following screen is opened:
Create subrule to split transaction automatically
ATTENTION!
First make sure that the normal bank processing rule for the transaction is fully set up.
For a detailed description on how to set up a bank processing rule see article Create bank processing rule.
Under Record transactions automatically on multiple GL accounts you are going to specify a so-called subrule that ensures that a transaction is booked on a different GL account than the one set in the so-called main processing rule.
To create a new subrule, click on the Add a subrule button.
Description
For a bank transaction to be split automatically by Yuki, you need to fill in the part of the description of the transaction in this field after which the amount to be posted to another GL account is immediately listed. So if an amount to be split on bank charges is always after the word "Cost:", you fill in this part of the description here. Yuki will then always put the next amount that can be recognized in the description on your chosen general ledger account.
ATTENTION!
This field is case sensitive so that there is less chance of incorrect entries. So if you want to break down an amount that follows a word, you must also include the capital letter in your line.
Yuki can recognize amounts with both comma and decimal point before decimals.
GL account (required)
Choose here the other GL account to which part of the transaction should be posted.
Contact
Select here, if required, the contact to be associated with the portion of the transaction posted to another GL account.
VAT type / VAT code
Yuki can also automatically book VAT on the subrule if required. To do this, select the correct category from the VAT type dropdown menu and then select the appropriate VAT code.
Income or expense (required)
Here, by selecting Income or Expense, specify whether Yuki should book this as a positive or negative amount.
Example
The transaction below is automatically broken down into two accounts:
- The main processing rule ensures that all transactions of this counterparty are automatically posted to '07100 Mortgage'
- A subrule based on description ‘Interest: euro’ books 160.00 on ‘86400 Interest on mortgage’.
To test if the bank processing rule is defined correctly you can click on the Preview matches button.
The following screen is opened:
Finally, click on the Create button to actually create the new bank processing rule.
All bank transactions that meet all criteria will now be processed and completed automatically.
Delete subrule
To delete a subrule that will no longer automatically split the transaction, click on the button with the three dots at the end of the relevant subrule and then select Delete from the dropdown menu.
All bank transactions that meet the criteria of the main processing rule will not be split as of this time.
